Duties and Responsibilities
Assist the Managing Director in making the most effective use of their time by managing secretarial, administrative, and other tasks. Act as a key point of contact between the Managing Director, Creative Director, and Project Manager and clients/tenants. Liaise with accountants for payable and receivable queries. Filter incoming emails and respond to correspondence on behalf of the Managing Director. Diary management involves booking and confirming meetings and appointments. Make travel arrangements as needed. Liaise with managing agents for routine tenant enquiries/maintenance reports. Arrange inspections as per UK legislation to ensure compliance. Maintain communication with tenants throughout the tenancy. Other property-related tasks may be assigned.
Requirements
The ideal candidate should possess at least 2 years' experience in a similar role (ideally in property management). Excellent written and spoken English skills are essential. Good knowledge of Microsoft Office, especially Word and Outlook, is required. Knowledge of Xero would be beneficial but not necessary as training will be provided. Understanding of office filing systems, both electronic and paper-based, is expected. The ability to prioritize workload with multiple projects is crucial. Proactive individuals who can work independently and without direct supervision are preferred. Strong team players with natural problem-solving skills are desired. A strong work ethic with discretion is necessary. Flexibility is also important. University Degree is advantageous but not essential.
