Job Title: Executive Assistant

Job Overview: The Executive Assistant provides high-level administrative support to senior executives, ensuring efficient operation of the office and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks and stakeholders with professionalism and confidentiality.

Main Roles & Responsibilities: Specific duties and responsibilities of the Executive Assistant will include as following:

Documentation and Analysis

Maintain confidential student and staff records in compliance with school policies and regulations.
Prepare reports, presentations, and documentation for school administration and regulatory bodies.
Co-ordination

Coordination with departments (Subject Heads, Admin, SSD, Stores, Purchase, Dining, etc.)
Coordination with Principals
Coordination with CH partnering schools in India, as required
Organize staff meetings and special events.
Prepare agendas, take minutes, and follow up on action items.
Technology & Systems Management

Use school management software (MCB) and tools for scheduling, communication, and record-keeping.
Provide basic tech support and training to staff when needed.
Administrative Support to School Leadership

Provide administrative support to the Principal
Manage calendars, schedule meetings, and coordinate appointments with staff and external stakeholders.
Communication & Correspondence

Draft and manage internal and external communications, including emails, newsletters, and memos.
Serve as a liaison between school leadership and faculty
Support for School Operations

Assist in managing school-wide initiatives, projects, and programs.
Help with procurement, vendor coordination, and facility management tasks as needed.
Compliance & Confidentiality

Ensure adherence to school policies, educational regulations, and data privacy standards.
Handle sensitive information with integrity and confidentiality.
Support leadership during emergencies or critical incidents by coordinating communication and logistics.
Additional Requirements

Flexibility to adapt to changing priorities and schedules.
Availability to occasionally work outside regular hours for events or urgent tasks.
Familiarity with office equipment and administrative procedures.
Qualifications / Requirements:

Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
Minimum of 3–5 years of experience in an executive assistant or senior administrative support role.
Experience in a school, corporate, or nonprofit environment is a plus.
Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
Communication Skills: Strong written and verbal communication skills; ability to interact professionally with diverse stakeholders.
Time Management: Proven ability to meet deadlines and manage time efficiently in a fast-paced environment.
Tech Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and scheduling tools.
Discretion & Confidentiality: Ability to handle sensitive information with integrity and professionalism.
Problem-Solving: Proactive and resourceful in resolving issues and anticipating needs.
Interpersonal Skills: Friendly, approachable, and capable of building strong working relationships.
