Korero mo te turanga | About the Role
As an Executive Assistant, youll be the backbone of your leaders day-to-day operations, ensuring they can focus on their strategic priorities. Your professionalism, discretion, and ability to juggle competing demands will be key to success in this dynamic and fast-paced environment.
Key Responsibilities will include:
Masterfully manage complex diaries, itineraries, and meeting schedules, ensuring priorities are met.
Be the gatekeeper for your leaders time-screening, assessing, and preparing them for engagements.
Oversee email inboxes, flagging urgent matters and drafting correspondence.
Coordinate meetings, from logistics to agendas, minutes, and follow-ups.
Handle invoices, expense claims, and purchasing cards with precision.
Arrange seamless domestic and international travel plans.
Build strong relationships as the first point of contact for internal and external stakeholders.
Collaborate with Ministers offices, senior officials, and key stakeholders.
Mentor and guide other administrative staff, sharing your expertise.
Drive improvements in administrative processes and activities.
Prepare polished reports, presentations, and documents.

Youre a seasoned professional with a proven track record of supporting senior leaders. You thrive in fast-paced environments and bring a proactive, solutions-focused approach to everything you do.
To excel in this role, you will bring:
Previous experience supporting senior leaders and operating at the senior level within an organisation or operating as an office manager type role
Outstanding communication skills and a professional, approachable demeanour.
Exceptional organisational and time management abilities.
High levels of integrity, discretion, and sound judgement.
Strong relationship-building skills and a collaborative mindset.
Curiosity you actively seek out new information, ask thought questions, and explore innovative solutions to challenges.
Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Experienced in using AI tools and identifying opportunities to apply AI to improve efficiency and customer experiences.
A commitment to Te Tiriti o Waitangi principles and biculturalism.
Knowledge of government processes and the ability to meet New Zealand Government security clearance requirements.

The salary band for this role is $69,415 - $93,915 and appointment will be made based on skills and experience.
