Due to company growth, a new EA is required to ensure that the Chairman has clear perspective of daily and weekly obligations.
Your Role
The Executive Assistant is a dynamic, compassionate and encompassing position that will see you manage a great deal Secretarial, Financial and Human Resources duties, as well as spearhead the administration of all functions across multiple departments within his vast business. This position is perfect for a mature minded, highly responsible and reliable Executive Assistant who is able to commit to extra hours where required. Daily duties may include:
Starting each day alongside the Chairman and attending to immediate needs, setting the pace and tone of the day accordingly
Liaise with all business associates to ensure smooth transition between meetings, events, talks and staff dealings
Scheduling, confirming and following up all tasks related to appointments
Preparing agendas, taking minutes and managing documentation in a secure and confidential manner
Distributing correspondence to relevant department leaders with extreme attention to detail and confidentiality, ensuring at all times that the Chairman only deals with necessary tasks to manage his time effectively
Develop and implement systems and procedures across all departments, maintaining an efficient and legal office operation
Ensuring that information is clear and accessible to the Chairman where required and with urgency
Understanding and facilitating Group Financial Data to the Chairman and liaising with relevant Accounting personnel for preparations
Responding to invitations in a polite, prompt and professional manner
Making travel plans, accommodation arrangements
Supporting the optimum health and wellbeing of the Chairman
Other Details
The position is Full-Time, Monday – Friday with slow mornings, likely to start between 8:30 or +:30. You must be willing to work closely and alongside the Chairman and provide a compassionate and executive secretarial service. You’ll be required to drive his vehicle and be the conduit between him and his people. Remuneration guide is $110 – 130K + Super and commensurate with skills and experience brought to the position.

You are highly organised, efficient with your time and capable of developing systems that are easily interpreted by BU Management and Leaders
You are compassionate, love to serve and have a great sense of humour
You provide excellence in all Secretarial and Executive Administration duties and understand the importance of extreme privacy and confidentiality
You are strong but very kind
You have excellent diary management, MS365 and advanced software skills
You are confident in event planning and diary planning and ensuring your boss and their reputation is handled with excellence at all times
