Job Description
Reports to: Director
Job Purpose: This job is responsible for providing administrative and organizational support to director of the company in other words to high-level executive. This involves scheduling appointments, managing email and correspondence, organizing meetings, preparing reports and presentations, managing databases and files, handling confidential information, and performing various other administrative tasks as needed to ensure the smooth and efficient operation of the Director’s office and responsibilities.
The goal is to help the Director to be more productive and effective in his role by freeing up their time and taking care of routine and administrative tasks.
Key Role & Responsibilities:
· Providing administrative assistance, such as writing and editing e-mails, drafting memos, and -preparing communications on the executive’s behalf.
· Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
· Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
· Managing email inbox and sending responses, sending communications on behalf of director.
· Taking dictation and other admin work.
· Maintaining comprehensive and accurate records, performing minor accounting duties in excel and other software basis on requirement.
· Welcoming visitors and identifying the purpose of their visit before directing them, answering phone calls in a polite and professional manner.
· Using various software, including word processing, spreadsheets, databases, and presentation software
Competencies:
· Creative problem solver, adaptable to new technology, business workflows etc.
· Excellent written, oral communication and interpersonal skills.
· Highly organized with excellent time management skills.
· Should be very good at MS office applications like Word, Power Point and Excel.
