About the role:

The Executive Assistant is responsible for providing executive and project support to two Executive Directors and their branches. Key duties include managing the Executives' inboxes and calendars, ensuring timely and accurate coordination of briefings, maintaining registers and SharePoint sites, and other business support activities. The role involves managing multiple priority commitments.

The Executive Assistant is also responsible for providing timely advice to stakeholders, both verbal and written, and maintaining positive relationships to facilitate a partnership approach. They communicate effectively with a range of internal and external stakeholders, including other executive and ministerial offices.

This role requires self-motivation, commitment, excellent relationship-building skills, problem-solving, and the ability to adapt plans to changing priorities. The Executive Assistant must work proactively to ensure optimal time management, demonstrate strong Microsoft Office and IT skills, and exhibit initiative and flexibility in their work practices.

About you:

The Department of Health is seeking an experienced and highly organised Executive Assistant to provide professional administrative and executive support within a fast-paced and dynamic environment. The successful candidate will play a key role in coordinating priorities, managing workflows, and ensuring the smooth operation of daily activities across the division.

This role requires strong planning and organisational skills, with the ability to identify critical tasks, allocate resources effectively, and establish systems and procedures to support efficient work processes. The Executive Assistant will proactively manage competing demands, anticipate potential challenges, and find practical solutions to maintain progress and deliver results.

Excellent written and verbal communication skills are essential. The successful candidate will prepare high-quality correspondence, reports, and briefs using clear and concise language, while communicating confidently with internal and external stakeholders. They will demonstrate professionalism in handling sensitive information and ensure that communication is accurate, timely, and audience-appropriate.

Strong problem-solving skills and organisational awareness are also vital. The Executive Assistant will understand the department's priorities, decision-making processes, and relationships, enabling them to provide informed support and sound judgment in complex situations.

Mandatory

Demonstrated knowledge of and experience in managing and supporting departmental executive functions and processes would be advantageous.
Desirable

A qualification in business, project management and or working in government would be advantageous but not required.
