Job Description
Key Responsibilities:
1. Administrative Support:
• Manage and maintain the CEO / HOD’s calendar, including scheduling appointments, meetings, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Handle incoming and outgoing communications on behalf of the CEO / HOD, including emails, phone calls, and mail.
• Organize and coordinate internal and external meetings, including logistics, agendas, and follow-up actions.
2 Project Management:
• Assist in the planning and execution of special projects and initiatives as directed by the CEO / HOD.
• Conduct research and compile information for reports, presentations, and strategic planning.
• Track and monitor project progress, ensuring deadlines are met and deliverables are completed.
3. Relationship Management:
• Serve as a liaison between the CEO / HOD and internal staff, clients, and external partners.
• Build and maintain positive relationships with key stakeholders.
• Coordinate and attend meetings, taking notes and providing summaries as needed.
4. Office Management:
• Oversee the organization and maintenance of the executive office.
• Manage office supplies, equipment, and facilities for the executive office.
• Coordinate with IT and other departments to ensure the CEO / HOD has the necessary resources and tools.
5. Confidentiality and Discretion:
• Handle sensitive and confidential information with the utmost discretion and professionalism.
• Ensure compliance with company policies and procedures related to confidentiality and data protection.
Qualifications:
• Bachelor’s degree in Business Administration, Communications, or a related field.
• Minimum of 5 years of experience as an executive assistant or in a similar role supporting C-level executives.
• Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to work independently and as part of a team in a fast-paced environment.
• High level of professionalism, integrity, and discretion.
• Experience in the real estate industry is a plus
