Executive Assistant

Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional clerical and administrative skills, ensuring smooth operations within the office environment. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining professionalism and confidentiality.

Responsibilities

Manage executive schedules, including Outlook Calendar appointments, ensuring efficient time management.
Prepare and edit correspondence, reports, and presentations with a high level of accuracy.
Organize and maintain files, both physical and digital, ensuring easy access to important documents.
Handle incoming calls with excellent phone etiquette, addressing inquiries and directing them appropriately.
Facilitate the use of DocuSign for document signing processes, ensuring timely completion of necessary paperwork.
Assist in the planning and coordination of meetings, including logistics and materials preparation.
Conduct proofreading of documents to ensure clarity and correctness before distribution.
Support various administrative tasks as needed to enhance overall office efficiency.
Experience

Proven experience as an Executive Assistant or in other administrative roles is preferred.
Professional office experience at CPA firm/Law firm/Bank/Wealth management or Insurance
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar management, and Microsoft Teams
Familiarity with document management systems and file organization techniques.
Excellent verbal and written communication skills, with keen attention to detail.
Ability to maintain confidentiality and handle sensitive information with discretion.

Job Types: Full-time, Permanent

Pay: $21.10-$25.00 per hour

Expected hours: 37.5 per week
