Job Description
We’re looking for an Executive Assistant to support our Founder across both business and personal priorities. This is a high-trust, high-exposure role for someone who is incredibly organized, detail-oriented, and eager to grow.
This is not just an admin role — it’s an opportunity to learn how a business operates from the inside, with exposure to strategy, operations, and decision-making. You’ll start by owning execution and coordination, with the opportunity to take on more responsibility over time.
Location: This role is open to candidates based in Vancouver, BC or Calgary, AB only.

The Role & Relationship
You will work directly with the Founder, supporting both business operations and personal logistics. Your role is to keep things organized, on track, and moving forward, while learning how to anticipate needs over time. You will also collaborate with members of the leadership team and support coordination across the business when needed. This role requires a high level of discretion and follow-through.
Key Accountabilities
Personal Support
Coordinate personal scheduling, appointments, and bookings
Plan and book personal travel
Support coordination of events (birthdays, wedding-related, etc.)
Assist with managing multiple rental properties (two in Vancouver, two in Calgary - both currently tenanted)
Organize personal sensitive documents and information (ie. liaise with accountants, lawyers, etc.)
Support with credit card points strategy
Other duties/projects as assigned for Founder or Founder’s family
Business Support
Inbox management and email organization
Manage calendar scheduling and logistics
Prepare meeting agendas and take clear, concise notes
Provide daily summaries with key updates and priorities for upcoming day
Update Asana tasks and support project organization
Maintain and update scorecards (with clear guidance/templates)
Coordinate team travel and internal events
Support recruiting coordination (interviews, scheduling, etc.)
Other duties/projects as assigned
Cross-Functional Support
Collaborate with leadership team members on scheduling and follow-ups
Work with Finance/Admin to help organize documents and information
Support project coordination across teams
Help improve organization and workflows where possible
