Job Description
The Executive Business Partner acts as a strategic force multiplier for the [Executive Title]. Unlike a traditional assistant, this role blends administrative gatekeeping with business intelligence. You will manage the Executive's time and logistics while simultaneously tracking company KPIs, analyzing data trends, and ensuring high-level meetings result in documented action. You are the bridge between the "Daily Schedule" and the "Big Picture."
2. Essential Duties & Responsibilities
A. Executive Administration & Gatekeeping (35%)
Calendar Strategy: Manage an extremely active calendar; act as the "gatekeeper" to prioritize access based on business goals and protect the Executive's time for high-value work.
Communication Hub: Filter, prioritize, and respond to incoming correspondence (email, phone, mail). Draft confidential memos and personal correspondence on behalf of the Executive.
Logistics & Prep: Brief the Executive daily on upcoming meetings. Coordinate complex travel arrangements and manage expense reconciliation.
Operations: Maintain the filing system (digital/physical) and handle matters expeditiously to ensure the Executive Office runs smoothly.
B. Data Analytics & Business Intelligence (30%)
KPI Tracking: Gather raw data from various sources (CRM, ERP, Sales Tools) to track Key Performance Indicators (KPIs) and operational metrics.
Trend Analysis: Analyze data trends, identify anomalies, and spot opportunities for operational improvement using statistical methods.
Dashboard Management: Maintain and update live dashboards (in Tableau, PowerBI, or Excel) to provide real-time visibility into business performance for the leadership team.
C. Meeting Governance & Documentation (20%)
Minutes of Meeting (MoM): Attend board, executive, and project meetings to capture comprehensive and accurate minutes.
Action Log Management: Translate meeting discussions into an "Action Log," assigning owners and deadlines, and rigorously following up to ensure completion.
Agenda Coordination: Collaborate with leadership to structure meeting agendas, ensuring all necessary data and pre-read materials are distributed in advance.
Compliance: (If applicable) Maintain formal minute books for Board of Directors meetings in compliance with corporate governance standards.
D. Reporting & Presentation Design (15%)
Executive Reporting: Design and produce weekly, monthly, and quarterly management reports for the Executive Team.
Data Visualization: Convert complex data sets into clear, visual graphics (charts, graphs) for inclusion in pitch decks and internal presentations.
Ad Hoc Requests: Respond to immediate requests for data retrieval and custom reports to support strategic initiatives.
