Job Title: Executive Assistant (out of scope)

Rainbow Resource Centre is Canada’s longest serving 2SLGBTQ+ centre, creating responsive programs and resources to support Manitoba’s 2SLGBTQ+ communities for over 50 years. Rainbow offers a range of programs for 2SLGBTQ+ individuals and families at all ages and stages of life, including a youth program, summer camps for youth, 55+ programming, a variety of community-led social support groups, and free short-term counselling. Rainbow provides 2SLGBTQ+ inclusion training in workplaces, schools, in government and labour organizations, helping to ensure that all spaces are safer for 2SLGBTQ+ individuals.
Position Mandate
The Executive Assistant ensures smooth operations by providing professional, confidential, and accurate administrative support to the Executive Director and other Centre directors. The EA proactively manages administrative tasks, supports the Centre’s strategic initiatives, and serves as a liaison to the Board of Directors ensuring they are scheduled and provided with all relevant information to conduct Board functions effectively. This role may also provide additional administrative support for all Directors.
The role requires a combination of confidentiality, logistics management, organization, and multi-tasking skills. Due to access to confidential information related to labour relations this role is out-of-scope.
Key Responsibilities
Executive Support & Administration
· Manage and prioritize the ED’s calendar, ensuring effective use of time by coordinating meetings, interviews, tours and events.
· Manage relationships with internal and external stakeholder through written correspondence behalf of the Executive Director and senior leadership team.
· Review calls for proposals, documentation, and research and analysis on behalf of the Executive Director.
· Confidential document management including editing, formatting and proofreading.
· Manage travel arrangements and workflow optimization on behalf of Executive Director.
· Expense management: create cheque requisitions for the senior leadership team and submit expense claims.
· Assist in the planning and management of projects and strategic priorities on behalf of the Executive Director.
· Track & maintain organizational memberships (eg. Chambers of Commerce, etc)
· Manage timelines in relation to the ongoing capital campaign and Centre strategic operations.
· Organize and oversee the Centre’s annual calendar of activities.
· Manage external requests for space bookings at the centre.
· Manage the Centre’s internal SharePoint site for effective internal information sharing.
· Attend meetings and take minutes
Board Stewardship
· Prepare Board and committee meeting agendas and related documentation, attend meetings, take minutes and note action items.
· Liaise with the Board and committee members to schedule meetings and invite members to Centre events.
General Accountabilities
· In collaboration with management, develop project budgets and track expenditures.
· Setup physical spaces for staff and external meetings including tables, chairs, a/v, and refreshments as needed.
· Arranging food staff and board meetings when needed.
· Attend staff meetings and participate in 2SLGBTQ+ knowledge sharing and community events as requested.
· Collaborate with, and/or assist program managers with special events and programming.
· Complete administrative documentation in a timely and accurate manner (e.g., timesheets, vacation requests, expense reports).
· Participate in relevant meetings, projects, and community committees.
· Support the development and implementation of organizational policies and procedures related to data collection and output.
· Other related duties as assigned by and negotiated with senior leadership.
Qualifications
Education
Post-secondary education in management, business, communications, or humanities—or equivalent experience.
Experience & Skills
· 2–3 years of senior administrative assistant experience.
· Experience in a not-for-profit setting and working with the 2SLGBTQ+ community.
· Strong interpersonal skills; able to foster and maintain relationships internally and externally.
· Exceptional organizational skills, attention to detail and high level of accuracy.
· Discretion and ability to handle confidential information including HR files.
· Proficient in time management and prioritizing tasks.
· Understanding of heterosexism, cissexism, and other systemic oppressions.
· Proficiency in Microsoft Office and fundraising database systems.
· Strong organizational, communication, and analytical skills.
· Ability to work independently, meet deadlines, and exercise sound judgment.
· Professional and diplomatic when interacting with internal and external stakeholders.
· Ability to anticipate needs and proactively support senior leadership.
· Valid full class 5 driver’s license and access to a car preferred.
Working Conditions
4 days per week, working hours are generally from 9:30 am to 5:00 pm (Monday to Friday). You must be willing to work flexible hours (evening and weekends) as needed. Rainbow Resource Centre offers health, dental, and employee assistance plan benefits.
Salary: $44,032–$49,587 per annum, representing a 0.8 FTE position (four‑day work week), subject to annual cost‑of‑living adjustment.
