We have an urgent opening for the position of Executive Assistant for a reputed company.

About Profile:

The MD of an international company serving hundreds of doctors is seeking an executive assistant to filter incoming communications, delegate them out, and free up the MD’s time to focus on big picture items. The EA must be able to track and follow up on an endless list of to do’s to ensure items are completed quickly.

To be successful in this role, you should be proactive, well-organized, have great time management skills and be able to act without guidance. The EA must be an expert at working with various tech platforms (RingCentral, Jira, Outlook, etc) to ensure maximum efficiency. The EA will play an integral role in refining company processes and helping the MD ruthlessly prioritize.

Job Profile:

Assisting the director of the Company in day to day official work.

Maintain calendar of all appointments.

Help develop agendas for meetings, take notes, and track follow-ups

Email drafting when the director informs for some particular work.

Preparing some documents as per the director’s requirement

Screen and direct phone calls and distribute correspondence

Act as the point of contact among executives, employees, clients, and other external partners

Track and follow up work given by the MD

Maintaining exhaustive databases of all action items, plans and conducting regular follow-up of the action items.

Analyzing and presenting the performance hit rate of all departments and HODs to evaluate timeliness, efficiency, and thoroughness across teams.

Participating in various organizational initiatives as deemed necessary by top management.

Some personal work as well such as paying bills/booking appointments etc

Maintain and refine internal processes that support the highest-ranking executive’s company-wide, coordinating internal and external resources to expedite workflow

Experience with and Jira / confluence preferred

Travel arrangements including ticket booking, Hotel booking.
