What We Want You To Do
• Handle day-to-day HR administrative tasks such as preparing HR-related documents, letters, and reports.
• Coordinate training sessions and workshops for employees.
• Oversee and coordinate daily office operations, ensuring a smooth and efficient work environment.
• Prepare and manage correspondence, reports, and documents.
• Plan and coordinate company events, meetings, and conferences.
• Maintain accurate and up-to-date records, files, and documentation related to facilities and administrative functions.
• Lead and manage special projects related to office renovations, relocations, or other facilities-related initiatives.
• Oversee the maintenance and upkeep of the office premises, including HVAC, electrical, plumbing, and other building systems.
• Coordinate with vendors and service providers for facility-related services and repairs.
• Ensure compliance with health, safety, and environmental regulations.
• Develop and maintain relationships with vendors and service providers.
• Negotiate contracts and manage service agreements to ensure cost-effective and quality services.
• Implement and oversee security measures to ensure the safety of employees and the premises.
• Conduct regular safety inspections and drills to ensure compliance with safety protocols.
• Oversee the allocation and maintenance of office space, furniture, and equipment.
• Serve as a liaison between different departments and external parties.
• Disseminate information and communicate company policies and procedures to staff.
What Are We Looking In You
• Bachelor’s degree in Human Resources, Business Administration, Facilities Management or related field.
• 2+ years of experience in an HR administrative or facilities management role.
• Proficient in Microsoft Office Suite and HRIS systems.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• High level of discretion and confidentiality.
• Must have own laptop
• Detail-oriented with a proactive approach to problem-solving.
