Job Description:
- Managing the calendar and meeting agendas of the Managing Partner, in coordination with the court calendar and matters listed as per cause list.
- Maintaining matter-related commitments and all personal and professional commitments, both physical and virtual.
Coordinate flow of information both internally and externally.
- Screening phone calls, emails, correspondence, prioritising and handling them appropriately
- Fixing up calls and meetings as instructed and managing requirements in terms of resources (papers for the meeting, briefs for the conferences, all documentation for court, travel etc.).
- Taking notes, dictations and preparation of the first draft of the documents, as directed by the Managing Partner.
- Take minutes during client meetings, ******** concerned persons about next steps and take follow up measures including reminders to office staff as well as clients for drafting, filing, circulation, fee payment etc.
- Coordination with the Partners for work allocation, deadlines and deliverables.
- Coordination with all internal teams IT, Admin, Finance, etc. for all instructions by the Managing Panner and ensuring its timely completion.
- Coordinate travel arrangements in the most optimal and cost effective manner.
- Manage and organise office supplies, equipment and inventory in the most optimal and cost effective manner.
- Supervise office timings for staff and ensure timely completion of tasks by all staff members.
- Assist with basic accounting tasks, such as expense tracking and invoicing
- Organising and maintaining all case files for Managing Partner.
- Maintaining and updating key contacts through appropriate Databases and Trackers.
- Travelling with the Managing Partner as and when required and accompanying him for the meetings, dinners, events, conferences and professional/social engagements.
Qualifications:
- Prior experience of as a personal secretary or executive assistant of 4-8 years (preferably in law firm)
- Proficiency in English, Hindi and Marathi
- Excellent organizational and time management skills
- Technically adept and proficient in near calendar, word, Excel etc. as well as other Project management tools like Jira etc.
Location: Business center, Taj Wellington News, Colaba, near High Court, Mumbai
Salary expectation:
40000 to 80000 p.m. depending on experience and performance in interview
