Executive Office Assistant
The Executive Office Assistant (EOA) works under the direction of the Executive Director. This is a full-time, permanent position (36hours/week).
The EOA oversees the general office operations of the Mountain Rose Centre including correspondence, office materials/supplies, maintenance/ordering of office equipment, organization documentation, marketing, IT support and assists the Executive Director. This position reports to the Executive Director.
General duties:
Knowledge of MRWSA to provide quality service
· Ensuring the flow of mail correspondence
· Documentation and filing of business correspondence
· Assist Executive Director with Board correspondence, packages, documentation, and record keeping
· Participate in payroll, A/P & A/R as identified in the financial practices of MRWSA
· Coordination of MRWSA security systems including FOB access, IT support, MRWSA email system and office/ building equipment maintenance
Answers and directs incoming phone calls
Greeting, directing, and assisting visitors
· Book and track building inspections and documentation
· Record all Health & Safety – fire drills, building repairs, and contract workers
· Order all supplies and materials as per approved budget(s)
Be available to deal with other duties as requested by Executive Director
Assist with special events, donor recognition, and other events
Assist Executive Director in Policy development and review as necessary
Marketing
· Development of brochures, posters, and other promotional materials
· Work with external companies for advertisements and press releases
· Website development & coordination of information
· Coordinate and distribute MRC Newsletter
· Assist the Executive Director in the development and implementation of the Marketing Strategy
Fundraising & Donor Database
· Update Donor Database as necessary
· Implement database software – training, implementation, sustainability
Assist in receiving donations (physical, cash, cheques)
Coordinate on-line National & Provincial Fundraising Campaigns with the Executive Director
Qualifications:
Ø Good organizational skills and interpersonal skills
Ø Knowledge of computer programs
Ø Have leadership and management skills
Ø Have good written and verbal communication skills
Ø Knowledge of family violence
Ø Ability to maintain self and conduct self in a professional manner
Ø Ability to work with the board and other staff
Ø Ability to work with little supervision
Ø Cross cultural awareness an asset
Ø Must understand the importance of CONFIDENTIALITY
Ø Must have a valid drivers license and use of a vehicle

Performance/Self Evaluation:
The Executive Director will complete an evaluation of job performance at 3 months and again at 6 months, then annually in June during the Staff Evaluation Process.
