NTERIO is an Alberta‑based interior construction company specializing in demountable wall systems, glazing, and millwork, with a growing focus on prefabricated and modular interior solutions. We work with architects, designers, general contractors, and clients who value speed, quality, and accountability.
We are a small, high‑performance team building a scalable business. We value ownership, follow‑through, and quiet execution over constant discussion. This role supports the CEO directly and is critical to keeping the business moving while leadership focuses on growth and strategy.
The Role
This is not a traditional assistant role.
This position exists to:
Remove friction
Close loops
Own execution
Reduce cognitive load for the CEO
You will be trusted to act without being asked, within clear boundaries.
Key Responsibilities
Inbox & Communication Ownership
Own the CEO’s inbox day‑to‑day
Draft and send replies independently where appropriate
Route emails to the right team members
Track follow‑ups until closed
Escalate only when judgment or risk is involved
Execution & Follow‑Through
Turn emails into actions
Maintain task lists and follow‑ups in Asana
Ensure commitments don’t stall
Close loops without reminders
Calendar & Logistics
Schedule meetings, site visits, and calls
Protect focus time
Coordinate travel, lunches, and logistics
Confirm details without back‑and‑forth
Internal Coordination
Liaise with accounting, project managers, designers, and operations
Route requests and confirm completion
Keep work moving without unnecessary meetings
CRM Support (Light)
Create/update tasks and follow‑ups in HubSpot as needed
Keep basic deal/contact tasks organized so nothing drops
Basic Qualifications (Practical)
2+ years in an Executive Assistant, Operations Assistant, or Senior Administrative role
Experience supporting a senior executive, business owner, or leadership team
Strong written communication (clear, concise, professional)
Comfortable with Microsoft 365 / Outlook (email + calendar)
Experience using task tools like Asana (required)
Familiarity with HubSpot (strong asset; required willingness to learn fast)
