About the Branch
The Office of the CEO is responsible for supporting the CEO in the oversight of the City Administration as a high-performing customer focused organisation delivering value for money and services for our community.?
In addition to supporting the CEO, the team directly delivers a number of key functions, including administrative support for Councillors and their offices, Council meeting management, internal communications and external media, as well as oversight and management of Council’s controlled and funded entities.
About your new role
The City of GoldCoast is looking for an Executive Support Officer for a 12 month maternity leave contract to work closely with the Executive Assistant to provide administrative support to the CEO.
Together, you will ensure the office is running efficiently and effectively, from managing the CEO's incoming phone calls, correspondence and requests to assisting the CEO with their meeting requirements, presentations, events, travel, emails and office budget, purchasing and procurement.
This position may require standing in for the EA to the CEO during leave periods. It is a dynamic, fast paced office suited to a high performer with advanced level computer and technology skills.
Duties will include:?
Preparation of correspondence on behalf of the CEO.
Manage all incoming enquiries (verbal/written) as a first point of contact with professionalism and appropriate discretion, confidentiality and sensitivity, ensuring accurate and timely responses are provided and/or escalated when required.
Ensure the CEO's calendar is proactively managed, maintained and well organised.
Assist with organisation of various meetings including but not limited to room/equipment bookings, catering, invitations, online forums, town halls and meeting agendas and minutes.
Reviewing and continuous improvement of the policies and procedures relevant to the role.
Relief Executive Assistant to the CEO duties for leave periods.

About You:
The successful applicant will be highly motivated and have experience working in executive offices with a commitment to discretion and confidentiality,
along with the ability to work in a fast paced, dynamic environment with competing priorities
You will have outstanding organisational and time management skills as well as excellent verbal and written communications skills
A Genuine 'can-do', together with being solution focused and have a proactive attitude.
Experience in supporting high level meetings, from meet and greet services, to creating agendas and minute taking, to coordinating meeting requirements including technology to presentation preparation is a must to succeed in this role.
You will have a high level of confidentiality and the ability to manage sensitive information and situations.
You will possess an advanced level of Microsoft Suite (Outlook, Word, Excel), a sound knowledge of data management systems and the ability to learn and adapt to new systems quickly.
