Who we are looking for

Ward’s Hydraulic Services is seeking a highly capable, technically minded Executive Support & Operations Specialist to support the CEO in a fast-paced industrial environment. This role is a critical support function that blends executive coordination with technical and operational awareness, acting as a key extension of the CEO within the business.

The Executive Support & Operations Specialist will serve as a central hub between the CEO and the organization, ensuring priorities are executed efficiently across service, shop, and field operations. This includes managing executive scheduling and communications, coordinating meetings and follow-ups, and ensuring accountability on action items across multiple teams.

In addition to executive coordination, this role plays an important part in translating operational and technical information into clear, actionable insights for decision-making. The coordinator will prepare technical reports, summarize operational data, and support the review of project updates and service work related to hydraulic systems, field operations, and ongoing client deliverables.

Working closely with internal teams, clients, and vendors, this individual will help drive alignment across the organization, track key initiatives, and ensure commitments and deadlines are met. They will also support broader business activities including proposal development, vendor coordination, KPI reporting, and continuous improvement initiatives across operations and service delivery.

The ideal candidate brings a strong technical foundation—mechanical, electrical, or industrial—paired with proven experience supporting senior leadership in a dynamic environment. They are proactive, highly detail-oriented, and comfortable operating in a fast-changing setting where priorities shift quickly and problem-solving is constant.

Above all, this role requires a trusted professional who can handle confidential information with discretion, anticipate the needs of the CEO, and contribute meaningfully to the efficiency and performance of the business.

Qualifications

Post-secondary diploma or certificate in Business Administration, Operations Management, or a related field
Technical training or background in mechanical, electrical, or industrial disciplines is a strong asset
7–12+ years of experience supporting senior leadership or working in operational coordination roles
Experience in industrial, service, or technical environments strongly preferred
Exposure to field service, maintenance, or engineering-driven work environments is an asset
Strong understanding of Microsoft Office Suite (Word, Excel, Project)
Excellent organizational and time management skills
Strong written and verbal communication abilities
High attention to detail and accuracy
Ability to manage confidential information with discretion
Comfortable working in a fast-paced, changing environment
Strong problem-solving mindset with a proactive approach
Ability to understand technical terminology and operational workflows
