We are a growing multi-disciplinary Psychotherapy Practice with multiple clinic locations across Toronto. We have beautiful, bright, newly renovated clinic spaces.
Position Summary
The front desk administrative role will be responsible for maintaining front-office operations; including scheduling, managing client flow, and being a touchpoint for meaningful client-clinic interactions.
Performing each day with compassion, professionalism, and attention to detail is essential.
This is an in-office position.
Days and Hours
We are hiring for two schedule options. Candidates must be available for one of the following:
Option 1: Tuesday to Saturday
Tuesday to Friday: 12:00 pm to 8:00 pm
Saturday: 10:00 am to 6:00 pm
Option 2: Saturday to Wednesday
Saturday and Sunday: 10:00 am to 6:00 pm
Monday to Wednesday: 12:00 pm to 8:00 pm
Key Responsibilities:
Managing front desk operations and maintaining a welcoming clinic environment
Booking, rescheduling, and confirming client appointments
Answering phone and email inquiries in a timely and professional manner
Greeting clients and supporting a smooth and positive in-clinic experience
Processing payments and supporting billing-related tasks
Maintaining organization of schedules and clinic flow
Managing and restocking clinic supplies as needed
Ensuring a clean, quiet environment by maintaining shared clinic spaces
Assisting clinicians with administrative support as required
Minimum Qualifications:
Two years of postsecondary education in a related field and/or equivalent work experience
Two or more years of experience as an administrative office assistant or in a client-facing role is preferred
Excellent communication skills in English (spoken, written, reading and comprehension); other languages are considered an asset
Strong interpersonal skills with a compassionate and professional approach
Ability to work across multiple clinic locations (East Toronto & Midtown) based on the assigned schedule
Proficiency in Google Workspace and ability to learn new systems
Familiarity with Jane booking software is considered an asset, but not required
Experience in a healthcare or mental health setting is considered an asset, but not required
Additional Responsibilities/Skills:
Support basic IT and audio/visual setup for team meetings and clinic events
Assist with troubleshooting technical issues (e.g., Zoom, projectors, audio) as needed
Flexible to attend a monthly team meeting at our Gerrard location to support AV setup and troubleshooting
Comfort with basic IT systems and troubleshooting; formal training is not required
Demonstrates the ability to use problem-solving and critical thinking skills
Passionate about learning, training, and ongoing development in the mental health space
Job Type: Full-time
Pay: $45,000.00 per year
