Overview
We are seeking a professional and organized Front Desk Staff member to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will possess strong office management skills, proficiency with various software tools, and excellent communication abilities. Responsibilities
Greet visitors and clients warmly, providing excellent customer support
Manage multi-line phone systems, directing calls efficiently and professionally
Handle appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
Perform data entry, filing, and document proofreading to maintain accurate records
Utilize QuickBooks for basic bookkeeping and invoicing tasks
Maintain office supplies inventory and coordinate office management activities
Support administrative tasks such as typing correspondence, managing emails, and supporting other departments as needed
Ensure proper phone etiquette and professional communication at all times
Assist with customer support inquiries, providing timely and courteous responses
Manage incoming and outgoing mail, as well as electronic communications
Experience
Prior office management or administrative experience preferred, including clerical duties such as data entry, filing, and proofreading
Experience with multi-line phone systems and office software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace is essential
Familiarity with QuickBooks or bookkeeping software is a plus
Bilingual proficiency is highly desirable to serve a diverse client base effectively
Strong organizational skills, time management, and attention to detail are required for success in this role
Previous experience in customer service or as a receptionist in medical or dental offices is advantageous
Demonstrated ability to handle multiple tasks efficiently while maintaining professionalism under pressure
