Job Description
All calls are answered promptly, with warmth & adhering to telephone etiquette norms.
Prepare and maintain telephone number database in a soft copy as per format given.
Prepare and update Outdoor Duty Register (for staff & Office Assistance), Driver Duty Register.
Enter all posts in the inward register and direct them to the relevant Department.
Ensure that the reception is always kept clean and uncluttered and maintain decorum and hygiene of the reception.
Manage any other admin activity assigned by Manager - Administration.
Visitors/Guest Management
Greet visitors appropriately and issue visitor badges
Determine visitor needs in a professional manner
Maintain visitor register
Offer refreshments to visitors where appropriate
Check visitors in and direct or ****** them to specific departments
Ensure back up when absent from reception desk
Inward Outward mails/courier/documents
Receive all incoming mails/courier/documents and enter and sign acknowledgement
Make entries in incoming register and distribute to concerned person
All unaddressed mail handover to Executive – Administration
Arrange to call courier pick up for dispatches
Make entries of all outgoing mails/courier/documents in a register
Preserve PODs/acknowledgments for all outgoing dispatches
Key Management
Tag all keys with unique code number and location of cabinate/door/drawer.
Maintain and update key Issue register recording all information about keys issued.
Any keys not in use is discarded with proper authorization
Report management immediately about any lost, missing, stolen or damaged key.
Attendance Management
Collect Attendance from all the sites,all the office Staff(Vashi/Vikhroli) and Drivers and forward it to the HR Deapertment before Payroll Processing.
