Job Description
We are looking for a highly driven individual with a real passion for employee support. You’ll support the Mobility and Immigration team with day-to-day actions related to Mobility and Immigration operations that ensure the efficient running of the team to deliver a high-quality service to employees and internal clients. This is a very busy and fast paced role, so attention to detail and prioritization are a must!
You will work within the LAB (London, Amsterdam & Brussels) Immigration & Mobility team and the role will include the following:
Team Mailboxes Maintenance:
• Monitor and manage the Immigration, Mobility and Cross Border Working inboxes picking up activities within the remit of this role
• File Vendor /employee emails to specific live immigration activity in relevant folder
• Allocate emails to relevant team members and external vendors
• Escalate urgent / nonstandard requests
Immigration Admin Support:
• Create Work Permit Initiations
• Upload required documents to Vendor system
• Collaborate with Mobility Co-ordinators & engage with employee
• Update and maintain LAB immigration trackers with new application details and changes in visa status
• Collaborate & Share Visa details with HR Ops team for HR system updates. Create immigration files for visa cases and file appropriately
• Verify WD updates for employee visa dates
• Maintain M&I team Trello boards
• Support with issuing letters related to business travel
Reporting:
• Prepare the HR database weekly changes report
• Prepare immigration report for payroll purposes
• Prepare & Issue visit visa business support & invitation letters relating to business travel
• Support the leaver form process for visa holders with HR Ops and action notification steps with vendor
Mobility & Transfer Admin
• Transfer Committee Preparation - Download inbound applications and create transfer files
• Update Transfer Trello board with new applications
• Work with co-ordinators to update stakeholder Trello boards & Slack channel, supporting the communication of transfer status and start dates to all stakeholders
• Draft employment contract for mobility coordinator review
• Manage adobe signature process for contracts and memos and ensure completed transfer Memos and contracts are filed with local HR
• Schedule check in meetings between transfers and Mobility coordinator during transfer period from the Mobility mailbox
• Support the leaver form process for transfers
Cross Border Compliance Admin
• Respond to remote working requests from CBW mailbox with standard email template
• Work with CBW coordinator to process Remote working requests in line with guidelines

YOU BRING (EXPERIENCE & QUALIFICATIONS)
• A graduation degree
• 3+ yrs of relevant work experience in a professional services or multi-national companies
• Experience of working in a fast-paced team - experience working with teams across multiple geographies is preferred
• Experience of working on Mobility process (ideal but not essential)
• Proficiency in MS Office (Word, Visio, Excel, PowerPoint, Outlook)
