Key Responsibilities:
1. Tender Identification & Analysis:
· Research Tender Opportunities: Monitor various government tender portals, procurement websites, and other sources to identify relevant tender opportunities.
· Tender Evaluation: Review and analyze tender documents, assessing the scope of work, specifications, and eligibility criteria to determine suitability for the company.
· Prepare Tender Alerts: Notify relevant stakeholders in the organization about upcoming tender opportunities.
2. Tender Preparation & Documentation:
· Prepare Tender Submissions: Manage the preparation of tender documents, including technical proposals, financial proposals, and required certifications, ensuring they meet all specific requirements.
· Coordinate with Internal Teams: Collaborate with technical, legal, finance, and other departments to gather the necessary information for a comprehensive bid.
· Ensure Compliance: Ensure all tender applications are fully compliant with government regulations, procurement laws, and tendering guidelines.
3. Proposal Writing & Strategy:
· Develop Tender Responses: Write clear, concise, and persuasive technical and financial proposals that address the government’s needs and demonstrate the company’s capabilities.
· Pricing Strategy: Develop competitive pricing strategies in collaboration with the finance team, ensuring proposals are both attractive to the client and financially viable for the company.
· Value Proposition: Highlight the company’s unique selling points, qualifications, and relevant experience to stand out from competitors.
4. Risk Assessment & Compliance Checks:
· Identify Risks: Assess potential risks associated with the tender, including contractual obligations, timelines, and resource requirements.
· Compliance Audits: Ensure that all documentation, including certificates, licenses, and compliance statements, are included and up-to-date to meet government requirements.
· Review Legal Terms: Work closely with legal teams to ensure that the terms and conditions in the tender contract are favorable and that the company can fulfill them.
5. Submission & Follow-Up:
· Submit Tender Applications: Ensure timely submission of all tender responses through the appropriate channels, following all specified submission guidelines.
· Track Submissions: Keep track of submitted tenders and maintain a record of each submission, deadlines, and next steps.
· Post-Submission Follow-Up: Engage with government departments or procurement officials for feedback on submissions, clarifications, and post-submission negotiations.
6. Relationship Management & Networking:
· Engage with Government Agencies: Build and maintain relationships with government procurement officers, ensuring good communication and understanding of tender requirements.
· Attend Tender Briefings: Participate in tender briefings, meetings, or presentations, representing the company’s interests and clarifying any doubts regarding the tender specifications.
7. Post-Tender Review & Reporting:
· Evaluate Tender Outcomes: After receiving a tender result, review feedback and identify areas for improvement in future submissions.
· Prepare Reports: Provide detailed reports on the status of tenders, success rates, and performance analysis to senior management.
· Continuous Improvement: Contribute to the refinement of the tender application process based on lessons learned and best practices.
Key Qualifications:
Education: Bachelor's degree in Business, Procurement, Public Administration, or a related field.
Experience: Proven experience in IT sector or Digital Marketing
Proven experience in preparing, submitting, and managing government tenders.
Familiarity with government procurement processes and legal frameworks.
Skills:
Strong written and verbal communication skills, with the ability to draft clear and professional proposals.
Excellent project management and organizational skills, with the ability to handle multiple tenders simultaneously.
Strong attention to detail and ability to comply with complex guidelines and regulations.
Knowledge of tendering and procurement software tools is a plus.
Desired Skills:
Negotiation skills for dealing with government agencies and ensuring favorable contract terms.
Technical understanding of the company’s products or services to better tailor responses to tender requirements.
Problem-solving ability to handle complex tender requirements and develop creative solutions.
Work Environment:
Office-based, with possible travel to attend government meetings, tender briefings, or related conferences.
Full-time position, typically standard office hours, but flexibility may be required during peak tender submission periods.
