com. The ideal candidate will be responsible for managing daily administrative operations, facilities, vendor relationships, and ensuring a productive and efficient workplace environment.

The Head of Admin will play a key role in supporting the company’s growth by ensuring all operational and administrative activities run smoothly.

Key Responsibilities :

Office Management and Administration :
• Oversee day-to-day office operations, ensuring the smooth functioning of all administrative tasks.
• Implement and maintain effective administrative systems and processes that improve efficiency and support business objectives.
Facility and Infrastructure Management :
• Ensure that the company’s facilities are well-maintained and meet health and safety standards.
• Oversee repairs, maintenance, and general upkeep of office spaces, ensuring a safe and productive work environment.
• Coordinate office space planning, renovations, and facility improvements as needed.

Vendor and Contract Management :
• Manage relationships with external vendors and service providers, negotiating contracts to ensure cost-effective services.
• Oversee procurement and management of office supplies, equipment, and services to support administrative functions.
• Ensure all third-party contracts related to office management, cleaning, security, etc., are maintained and updated.

Budgeting and Cost Control :
• Develop and manage the administrative budget, ensuring efficient use of resources.
• Monitor expenses and implement cost-saving initiatives where possible.
• Analyze spending on office management and facilities and provide insights to the leadership team.

Compliance and Security :
• Ensure compliance with local laws, regulations, and safety requirements related to office operations.
• Implement and manage office security measures, ensuring the protection of company assets and staff.
• Manage the company’s health and safety protocols, conducting regular risk assessments and implementing necessary corrective measures.

Event and Travel Management :
• Oversee the coordination and execution of internal and external company events, including meetings, conferences, and team-building activities.
• Manage travel arrangements for staff, ensuring efficient and cost-effective travel planning.

Leadership and Team Management :
• Lead, mentor, and develop the administrative team, fostering a culture of operational excellence, professionalism, and accountability.
• Set clear objectives for the administrative staff and manage their performance to meet organizational goals.

Cross-Functional Collaboration :
• Work closely with HR, Finance, IT, and other departments to ensure administrative functions support broader business goals.
• Provide administrative support to other departments, as needed, to ensure smooth internal operations.

Requirements :
• Bachelor’s degree in Business Administration, Facilities Management, or a related field.
• Proven experience in an administrative or office management role, preferably within a B2B, e-commerce, or manufacturing-related industry.
• Strong organizational and multitasking skills with the ability to manage complex administrative processes.
• Excellent interpersonal and communication skills, with the ability to build relationships with vendors, staff, and external partners.
• Demonstrated leadership skills with experience in managing and developing a team.
• Knowledge of health and safety regulations, compliance, and risk management.
• Proficiency in office management software and tools (e.g., MS Office, ERP systems).
