Reports To: HR Lead
Status: Summer Work Term - 14 weeks
Job Summary: The Summer HR Assistant will work closely with the Human Resources team to support various HR functions, including recruitment, onboarding, employee records management, and general HR administration. This role is ideal for students pursuing a career in human resources, business administration, or a related field who are interested in learning more about HR processes in a professional environment. This position is 35 hours per week, Monday to Friday, 8:30 a.m. to 4:30 p.m.
Duties and Responsibilities:
Human Resources & Payroll:
Assist in posting job openings and reviewing candidate applications.
Schedule interviews and coordinate logistics for recruitment processes.
Support the onboarding process for new hires, including preparing new hire paperwork, and orientation materials.
Develop and enforce a standardized naming convention for all employee-related documents to ensure consistency and ease of access.
Extract employee documents from HRIS systems like Sage and Payworks.
Organize and upload these documents into the respective employee folders for streamlined management and quick retrieval.
Configure and customize the Payworks Dashboard to provide real-time insights and easy access to employee payroll data and other relevant information.
Ensure dashboard settings are aligned with organizational needs and accessible to appropriate stakeholders.
Maintain spreadsheet status reports, review probationary and full time and part time status, end of contract dates and communicate with parishes to obtain updated information.
Convert and upload physical file copies to an online cloud database for employee and company documents.
Create standardized employment letters (conversion of status, extension of contract, confirmation in rate change, etc.), appreciation letters and leave of absence communication documents.
Assist with general HR administration tasks as required.
Responsible Ministry:
Assisting in maintaining confidential files for Parish Staff and Volunteers
Data Input and Updating for Staff and Volunteers in our database system
Filing Completed Staff and Volunteer files in secure location
Connect with parishes to assist in their processing of Volunteers
Qualifications:
A post-secondary program in Human Resources, Business Administration, or a related field.
Enrolled full time at a post-secondary university for September 2026
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Attention to detail and a high level of accuracy in work.
Ability to maintain confidentiality and handle sensitive information.
A proactive and positive attitude with a willingness to learn and take on new challenges.
Ability to work independently and manage time efficiently
