Job Description
The role provides administrative support across the employee lifecycle while ensuring employee information is accurate, current and compliant. A core focus of the position is the coordination, monitoring and follow up of probity requirements for new and existing employees. Success in the role will come from being highly organised, methodical and confident working with detailed documentation.
This opportunity suits an entry level candidate or someone with 1 to 2 years of experience in a busy administrative environment who enjoys working with systems, deadlines and compliance obligations.
Salary: $75k to $80k per year, plus superannuation and access to salary packaging.
Key responsibilities
Maintain accurate employee records across personnel files, databases and HRIS platforms
Manage end to end probity processes including collection, verification, tracking and renewal of mandatory documentation such as licences, qualifications and screening clearances
Be the main point of contact for Visa's and Sponsorships to ensure ongoing compliance.
Monitor expiry dates and proactively follow up employees and managers to ensure ongoing compliance at all times
Ensure documentation is completed and recorded to reflect changes throughout the employment lifecycle
Support onboarding to ensure new starters meet all compliance requirements prior to commencement
Prepare compliance reports and provide regular updates to leaders regarding outstanding or upcoming probity items
Respond to internal and external enquiries and provide timely assistance
Escalate risks or gaps in documentation to the appropriate person
Liaise with services and corporate teams to maintain a high level of support
About you
Experience in an HR administration or coordination role in a fast-paced environment
Confidence working with compliance frameworks, documentation and record keeping requirements
Strong systems capability across HRIS, databases and Microsoft Office
Exceptional attention to detail with the ability to spot gaps or inconsistencies
Ability to organise competing priorities and meet deadlines
Comfortable following up stakeholders to obtain outstanding information
Clear and professional written and verbal communication
A proactive approach with sound judgement about when to escalate matters
