JOB OVERVIEW

· The Aboriginal Health and Wellness Centre of Winnipeg is seeking a Human Resources Administrator to support the Human Resources Department in the administration and coordination of HR operations across the organization.

· Reporting to the Director of Human Resources, the Human Resources Administrator is responsible for supporting recruitment, onboarding, employee records management, payroll and benefits coordination, and HR compliance processes. The position plays an important role in maintaining a respectful, organized, and culturally safe workplace environment aligned with AHWC’s vision, mission, and values.

RESPONSIBILITIES AND DUTIES

· Maintain accurate and up-to-date employee records, both electronic and physical, ensuring confidentiality and compliance with applicable privacy legislation and internal policies.

· Support recruitment processes, including drafting and posting job advertisements, coordinating interviews, preparing interview packages, completing reference checks, and preparing offer documentation.

· Coordinate onboarding and off boarding processes, including orientation documentation, employee files, monitor access requests.

· Track probationary periods, performance review timelines, including 3-month, 6-month, and annual reviews, and notify Directors of upcoming deadlines.

· Maintain HR tracking systems for attendance, leaves, training, employee status changes, job descriptions, and personnel documentation.

· Assist with maintaining current HR templates, forms, letters, and process documents.

Payroll and Benefits Support:

· Liaise with payroll providers and internal payroll contacts to support accurate employee data entry, employment status changes, wage changes, and documentation.

· Support benefits administration including enrolments, terminations, eligibility tracking, employee inquiries, and coordination with benefit providers.

· Monitor benefits eligibility requirements, waiting periods, Health Spending Account classifications, and benefits-related documentation.

· Assist with tracking benefits arrears, employee deductions, and required HR/payroll documentation as directed.

Employee Relations and Compliance:

· Provide administrative support for employee relations processes, investigations, disciplinary processes, grievance handling, and accommodation documentation.

· Prepare HR documentation such as Letters of Expectation, meeting invitations, follow-up correspondence, file notes, employment letters as directed and other relevant documentation.

· Assist in ensuring compliance with the Collective Agreement, Manitoba Employment Standards, Aboriginal Health and Wellness Centre policies, and internal HR procedures.

· Maintain documentation related to leaves of absence, accommodations, return-to-work planning, workplace concerns, and employee communication requirements.

· Support Health and Safety documentation, meeting coordination, committee records, and reporting requirements as needed.

Reporting:

· Generate routine HR reports including attendance, recruitment activity, staffing changes, probationary review status, training records, and workforce metrics.

· Maintain records required for audits, compliance reviews, leadership reporting, and internal planning.

· Support preparation of HR summaries, briefing notes, and documentation packages for the Director of Human Resources and senior leadership as required.

General Responsibilities:

· Respond to employee inquiries in a professional, timely, and confidential manner.

· Maintain strict confidentiality in all Human Resources matters.

· Assist Employees and leadership on questions about Polices, Collective agreements, Benefits and RRSP and Workplace Health and Safety

· Contribute to a respectful, culturally safe, inclusive, and trauma-informed workplace environment.

· Work collaboratively with Directors, Managers, employees, payroll, finance, and external providers as required.

SKILLS :

· Strong knowledge of Human Resources principles, practices, and employment legislation.

· Would love someone who has a Understanding of Collective Agreement administration and unionized workplace processes.

· High level of organization, accuracy, and attention to detail.

· Ability to handle sensitive and confidential information with professionalism and discretion.

· Strong written and verbal communication skills.

· Ability to prepare clear correspondence, maintain accurate records, and organize documentation effectively.

· Proficiency in Microsoft Office, including Word, Excel, Outlook, and HR/payroll systems.

· Ability to work independently and collaboratively in a fast-paced environment with competing priorities.

·AHWC Would love an individual who understands Indigenous cultural safety, trauma-informed practice, and respectful workplace principles.

·AHWC would love if you speak an Indigenous language, if able

· Clear Criminal Record Check and Child Abuse Registry Check.

EDUCATION & QUALIFICATIONS

· Post-secondary education in Human Resources, Business Administration, Office Administration, or a related field is required.

· Minimum of one (1) to three (3) years of experience in a Human Resources, payroll, benefits, or administrative support role.

· AHWC Would love someone experienced working in a unionized environment.

· AHWC Would love someone who has Experience working within an Indigenous organization, community-based organization, or non-profit setting.

· Equivalent combinations of education and experience may be considered.

PHYSICAL AND EMOTIONAL DEMANDS OF THE JOB

· Office-based work environment with extended periods of computer use.

· Frequent handling of confidential employee information and sensitive documentation.

· Requires ability to manage multiple deadlines and competing priorities.

· Occasional lifting of files, boxes, or office materials may be required.

· May be required to attend meetings, training, or organizational events outside regular office hours on occasion.
