Key Responsibilities:
• First Point of Contact: Greet visitors and manage incoming calls on a multi-line phone system, directing inquiries to the appropriate HR personnel and providing essential information about HR procedures.
• Administrative Support:Offer comprehensive administrative assistance to the Director of Human Resources, including:
• Screening calls and managing visitors.
• Composing routine correspondence requiring HR knowledge.
• Maintaining and coordinating the Director’s calendar, scheduling meetings, and sending out polls.
• Project Coordination:Take charge of special projects such as:
• Conducting research and data analysis.
• Planning and assisting with staff meetings.
• Tracking new hire ethics training and waivers.
• Fiscal Management: Serve as the fiscal officer delegate, managing department budget expenses, procurement card purchases, and expense vouchers. Maintain accurate records of fiscal transactions and order office supplies.
• Data Management: Maintain salary time records for HR staff, managing vacation and sick leave input into the Banner HR System. Assist with FOIA requests and personnel file inquiries.
• Office Operations: Manage various office needs, including key control, inventory of supplies, scheduling conference room meetings, and overseeing student workers as needed.
• Additional Duties: Be flexible and ready to tackle other tasks as assigned to support the HR team.
Minimum Qualifications:
• High school diploma or equivalent.
• Any one or any combination totaling one (1) year (12 months) from the following categories below:
• course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
• 30 semester hours equals one (1) year (12 months)
• work experience performing basic human resource/payroll or general office support duties.

Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, candidates must be a current Illinois resident.
