Legal & Adjudicative Services Assistant
This position is responsible for functions related to the Town’s various legal and adjudicative services, most prominently, the Town’s Administrative Monetary Penalty System (AMPS), and for providing executive assistant and project management functions within the Legal & Real Estate division of Corporate Services. This position is responsible for major aspects of the AMP System including service procurement, vendor and contract management, ensuring that all legislated requirements are completed as Parking Penalty Notices (PPNs), By-law Penalty Notices (BPN) and Automated Speed Enforcement (ASE) offence notices progress through the AMP System. This position will complete the duties of Screening Officer during peak periods and will be the designated backup for the role of Screening Officer in their absence.
Key Duties
Administrative handling of legal retainers including retainer agreements, invoice and cost tracking, processing renewals, supporting procurement processes for legal services, etc.
Assist with information gathering and data analysis, organizing and summarizing information into reports, spreadsheets, or presentations, invoice review and processing, and general support related to ongoing legal matters, etc.
Assisting with property acquisitions, dispositions, or agreement renewals by gathering requisite legal and real estate documents.
Provide support to the Legal & Real Estate Coordinator in relation to the Town’s most sensitive legal files, also assist with special projects including research (legislation, regulatory changes, compliance, property ownership records and mapping, emerging market trends, industry subject matter experts), benchmarking analysis, information gathering etc.
Provide support and coordination for the Town’s Administrative Monetary Penalty (AMP) System, which may include data processing, information requests, screening and hearing management, and coordination with various internal and external stakeholders
Manage the administration of all legal agreements and service requirements for AMPs program, including supply vendors, Hearing Officer(s), MTO, MAG, third party camera vendor, Joint Processing Centre, etc.
Review, assess, and decide on all submitted screening request packages ensuring a fair and consistent approach is used ensuring all the Town’s policies and procedures are fairly applied to all requesters
Qualifications/Skills
2-year College diploma in Legal Administrative Studies, Paralegal, Law Clerk, Law and Security Administration, Police Foundations, or Town accepted equivalent
Equivalent to completion of Community College of about two academic years and/or recognized apprenticeship OR skilled trade requiring combination of courses and training hours that require greater than one (1) year to complete
Municipal Law Enforcement Officer Designation is an asset
More than 3 years related experience in an active Municipal Enforcement environment, Court Services environment, or Legal Field environment involving direct contact with the public and administration office experience
Experience using various software programs and databases to track, analyze and report on contract lifecycles, data and financial results
What we offer to staff
Rate of Pay: $68,+7+ - $86,224 per year
Hours of Work: This is a non-union position that works 35 hours per week. The hours of work are Monday to Friday from 8:30 a.m. - 4:30 p.m.; occasional attendance at evening meetings may be required;
