POSITION SUMMARY
Perform paraprofessional work in a variety of legal secretarial and administrative functions to support the activities of Pinal County Public Defender's Office under basic supervision under close supervision.
TYPICAL CLASSIFICATION ESSENTIAL DUTIES
Work in this classification requires an individual to be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary classification functions herein described. Since every duty associated with this classification may not be described herein, employees may be required to perform duties not specifically spelled out in this classification description, but which may be reasonably considered to be incidental in the performing of their duties just as though they were actually written out in this description.

Provide a variety of paraprofessional secretarial support and administrative duties for attorneys in the Pinal County Public Defender's Office and perform duties within the scope of authority and training and in compliance with County policies.
Open new files and prepare initial legal documents.
Schedule interviews, trials, hearings, meetings and attorney's calendar items and notify clients as directed.
Prepare/organize files for up-coming court dates and complete clerk calendars.
Input any and all attorney notes into Justware.
Draft and file any needed motions, notices, etc. that are needed for each specific file.
Answer a high-volume of calls from clients, family members, and attorneys.
Complete any requests and/or tasks given from each attorney.
Mail/fax any type of documents needed, send introduction letters, and schedule office visits and jail contact visits on a day-to-day basis.
Assist attorney's preparations for trials and hearings.
File legal papers with courts and process court papers according to court procedures and attorney instructions.
Type and proofread legal documents, compose and create letters, memoranda, and legal documents from specific direction, standard formats, copy, rough draft, and dictation, prepare and edit confidential and sensitive legal documents, and maintain confidentiality.
Review, sort, and distribute mail, maintain attorney calendars, answer phones, and assist general public telephonically or in person.
Update files, computer records, and tracking systems and distribute related paperwork.
Receive and send information to and from other agencies and jurisdictions.
Provide information and assistance within the scope of designated authority.
Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
Perform other related duties as required.
MINIMUM REQUIREMENTS TO PERFORM WORK
High school diploma or GED equivalent.
One (1) year of secretarial experience, preferably in a legal office.
Must pass a thorough background investigation.
Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
Preferred Qualifications:
Arizona residents must have an Arizona Driver’s License upon hire; newly established Arizona Residents must have one within 30 days of hire.

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of principles of record keeping, case files, and records management.
Knowledge of principles and protocols for the management of official documents and court records.
Knowledge of legal system and law enforcement agency procedures and terminology.
Skill in preparing and maintaining accurate records.
Skill in creating legal, professional, and technical correspondence.
Skill in reading legal documents and extracting relevant information.
Skill in operating a personal computer utilizing standard and specialized software and a variety of standard office equipment.
Ability to follow verbal and written instructions.
Ability to establish and maintain effective working relationships with other employees, other agencies, and the public.
PHYSICAL DEMANDS:
The work is light and requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The work also requires the ability to finger, handle, perform repetitive motion, lift, speak, hear, stand, walk, and demonstrate visual and mental acuity.

WORK ENVIRONMENT:
Work is performed in a dynamic environment that requires the ability to be sensitive to change and responsive to changing goals, priorities, and needs.

The hiring salary for this position is dependent upon experience, qualifications and position funding; starting salaries above the first quartile require additional approval.
