If you’ve ever seen “Antiques Roadshow,” this is similar to what we do. We set up boutique “buying events” at various hotel locations throughout the region, where folks come to sell us their estate items—primarily gold, silver, coins, and watches.

Position Overview

We are seeking a highly organized and detail-oriented Licensing Compliance Manager to lead the team responsible for securing business licenses, managing police reporting requirements, and overseeing all weights & measures regulatory obligations for our shows. This leader will ensure every Roadshow event is fully compliant with state, city, and county regulations— minimizing risk, maintaining operational integrity, and ensuring accurate, timely documentation across all systems.

This role will also collaborate closely with the Logistical Operations Manager to ensure show schedules align with licensing deadlines, inspection timelines, and police reporting requirements, enabling seamless coordination across both teams.

This role will report to the Director of Operations.

Key Responsibilities

The Licensing Compliance Manager oversees three critical compliance functions that support the legal and regulatory foundation of every Roadshow event.

Show Licensing

Oversee city, county, and state licensing requirements and ensure the team maintains timely and accurate compliance across all Roadshow locations. Responsibilities include:

Leading the licensing team in conducting up-to-date research on municipal and state requirements and confirming regulatory obligations directly with authorities when needed.
Reviewing license applications, payment submissions, and supporting materials for completeness and accuracy before they are submitted.
Managing communication flow between the team and external agencies to ensure responsiveness, clarity, and professional representation of the organization.
Ensuring all licensing timelines are aligned with upcoming shows and coordinating with the Logistical Operations Manager to address any risk to scheduling.
Driving consistent documentation practices across all systems and holding the team accountable for detailed, accurate record-keeping
Weights & Measures

Lead and manage the team responsible for ensuring all scales and weight-related equipment comply with state regulations. Responsibilities include:

Providing direction and oversight as the team determines each state’s W&M licensing requirements and inspection needs.
Ensuring that license applications, renewals, and scale inspections are initiated early, accurately completed, and proactively tracked.
Reviewing inspection outcomes and guiding the team through any corrective actions, replacements, or follow-up steps.
Maintaining a high standard of accuracy in documentation across all compliance platforms ( e.g. Monday.com, Salesforce, spreadsheets, etc.).
Establishing expectations, workflows, and timelines to ensure all W&M requirements for each show are completed before deadlines.
Police Reporting

Lead the team responsible for researching, documenting, and maintaining all police reporting and holding requirements across jurisdictions. Responsibilities include:

Providing oversight as the team identifies the correct police departments, reviews reporting requirements, and confirms holding periods for each show location.
Reviewing all research and correspondence to ensure accuracy, professionalism, and adherence to current legal standards.
Ensuring processes are followed for escalating communication when municipalities are unresponsive or require additional engagement.
Maintaining alignment between police reporting requirements and show scheduling by collaborating closely with the Logistical Operations Manager.
Ensuring team documentation in all platforms is comprehensive, clear, and fully up-to-date so downstream teams can rely on it without gaps.
Team Leadership & Collaboration

Manage and develop the Licensing Compliance team, ensuring tasks are completed accurately and proactively.
Build strong partnerships across functions, most importantly the Logistical Operations Manager and Marketing teams to align licensing timelines with show scheduling, buyer assignments, and marketing launches.
Monitor team workload, performance, and accuracy, ensuring deadlines are met and compliance gaps are avoided.
Standardize processes, maintain clean documentation, and uphold consistency across all reporting channels.

Experience managing multiple timelines, calendars, or competing priorities simultaneously.
Ability to coach, mentor, and develop team members at varying experience levels.
Comfort in delivering constructive feedback and holding team members accountable to deadlines and standards.
Ability to coordinate cross-departmentally and ensure alignment between operational and compliance teams.
Ability to stay calm and organized under pressure or during last-minute changes.
Strong judgment, discretion, and decision-making abilities.
Clear and proactive communication style, especially in fast-moving or high-ambiguity environments.
Nice to have skills

Additional responsibilities include:

Experience using or managing project management systems (e.g. Monday.com, Asana, Trello).
Experience working with CRM, scheduling, or resource-management tools (e.g. Salesforce).
Ability to quickly learn and master internal software and systems.
Experience in travel coordination, events, hospitality, or multi-location scheduling.
Background working in environments with regulatory or compliance requirements.
High level of professionalism and customer-service orientation.
Experience working with municipal licensing, permit workflows, or regulatory documentation.
Background in legal compliance, law enforcement communication, or government-facing administrative work.
Comfort working in fast-paced environments with shifting timelines and high operational visibility.
About You

1+ years of experience in compliance, licensing, regulatory operations, or a related administrative field.
1+ years of people management experience with proven ability to lead, coach, and hold a team accountable.
Strong attention to detail with exceptional organizational skills.
Ability to track, retain, and manage large volumes of regulatory information.
Strong written and verbal communication skills, especially with government agencies and external partners.
Proficiency in spreadsheets, online portals, and general office software.Ability to manage multiple timelines, follow-ups, and deadlines simultaneously.
