Job Description

The ideal candidate will manage daily administrative operations, provide exceptional customer service, input data and order entry and invoice customer orders. This is a key role for our team which complements the smooth functioning of the office environment.

This role requires strong computer skills in MS Word, Excel, Quickbooks, Outlook, and excellent communication abilities. Efficient data entry skills and ability to provide high attention to detail while dealing with customer orders and invoicing.

The Office Administrative Assistant will be the first point of contact on site. In office presence is a must and not negotiable due to order receipt and shipment coordination.

Prior experience in an office setting with experience handling incoming calls, preparing shipments and order entry is a strong asset.

Job Responsibilities:

Manage front desk operations, including greeting visitors and answering phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing systems, document proofreading, and general clerical tasks to support office functions
Provide customer support by addressing inquiries and assisting customers
Demonstrate high attention to detail while invoicing, billing, and financial record keeping
Maintain organized office supplies inventory and order replacements as needed
Role Requirements:

Proven experience in an office setting with strong clerical skills and familiarity with Microsoft Office Suite - Word, Excel, Outlook
Experience with QuickBooks or bookkeeping software is preferred
Prior front desk or customer service experience
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong typing, proofreading, and organizational skills to ensure accuracy in all tasks
Exceptional communication skills with professional phone etiquette for handling phone systems and customer interactions
Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times
Light order picking (ability to lift up to 5 pounds)
