About Us:

The Canadian Society of Peace and Relief (CSPR) and the Muslim Council of Ontario (MCO) are registered charities in Ontario. Both charities operate mosques and provide religious and social services to communities. We are seeking a dedicated Office Administrator to oversee the operations of both charities and their facilities.

Key Responsibilities:

The Office Administrator will be responsible for a variety of duties, including but not limited to:

Maintain complete records of correspondence, fundraising programs, donation pledges, contracts, loans, or other important work-related documents.
Review documents upon receipt, schedule meetings, prepare documents/letters as required, document minutes, and manage databases.
Organize events, conferences, and all Friday, Taraweeh, and Eid prayers at various locations. Book transport and accommodation for the program guests if required.
Responsible for all correspondence, public communications, inquiries, and management matters. Supervise and monitor the work of volunteers and other administrative staff.
Purchase and maintain office/mosque supplies and equipment. Process invoices and maintain records of transactions.
Implement and maintain procedures and administrative systems. Supervise and manage donations, loans, contracts, and other financial transactions.
Responsible for the recovery of donation pledges. Ensure donation receipts are issued in compliance with CRA regulations for charitable organizations.
Implement and ensure that health and safety policies are up to date. Ensure the cleanliness of the facilities (i.e., snow removal, grass cutting, washroom supplies, vacuuming of the masjid, etc.).
Coordinate any maintenance or repair work. Oversee the use and maintenance of surveillance, alarm, and IT systems to ensure operational security.
Help in raising funds, develop the goodwill of the organization, and maintain good relationships with the donors, worshipers, volunteers, management committee members, employees, different vendors, suppliers, partner organizations, and the public.
Search and apply for Municipal, Provincial, and Federal Grants and Funding Opportunities.
Responsible for circulating the organization’s activities, information, and fundraising appeals on various social media groups.
Qualifications:

Experience: Minimum of 4 years as an Office Manager/ Office Administrator.
Background: A background in accounting will be considered an asset.
Computer skills: Must be able to use Microsoft Office Suite, Internet, social media, etc.
Communication Skills: Strong verbal and written English language communication skills to liaise with the public and stakeholders effectively.
Organizational Skills: Ability to handle multiple tasks, prioritize effectively, and maintain detailed schedules.
Interpersonal Skills: Friendly and professional demeanor to work collaboratively with a diverse community.
Flexibility: Must be available to work a minimum of 40 hours per week. Flexibility to work evenings and weekends based on operational needs.
Conditions of Employment:

Salary:

A competitive salary package will be offered, commensurate with the candidate’s experience and qualifications.
