We are looking for a highly organised and proactive Office Manager to oversee the day-to-day operations of our office and ensure a productive, compliant, and well-functioning workplace. This role is central to the smooth running of the business, encompassing the management of administrative systems, facilities, and office personnel. ## Key Responsibilities
- Contribute to the planning, coordination, and continuous improvement of office services, establishing clear priorities and maintaining high service standards across all administrative functions
- Allocate and manage office resources effectively, including personnel, physical space, and equipment, to support business operations and team productivity
- Assign tasks to administrative and support staff, monitor work performance, and provide guidance to ensure consistent output and professional development
- Oversee the management of office records, accounts, and documentation, ensuring accuracy, confidentiality, and compliance with relevant retention policies
- Liaise with internal stakeholders, external professionals, and service providers to coordinate office business, resolve operational issues, and maintain strong working relationships
- Manage physical facilities including organising maintenance, repairs, and upgrades to buildings, equipment, and infrastructure to ensure a safe and functional working environment
- Ensure the workplace remains compliant with occupational health and safety regulations, conducting regular reviews and implementing corrective actions where required
- Monitor and ensure adherence to relevant government legislation, organisational policies, and internal procedures across all office operations
- Coordinate a broad range of personnel activities including recruitment, onboarding, performance management, payroll processing, and the delivery of training and development programmes
- Develop, implement, and refine administrative systems and workflows to improve office efficiency and support the wider business in achieving its objectives
- Manage office budgets, expenditure, and supplier contracts, seeking value-for-money outcomes while maintaining quality standards
- Serve as the first point of contact for office-wide communications, fostering a positive workplace culture and acting as a central resource for staff queries and operational matters
## Required Qualifications & Skills
- Proven experience in an Office Manager, Operations Manager, or senior administrative role, ideally within a professional services or corporate environment
- Strong organisational and time management skills, with the ability to prioritise competing demands and meet deadlines without compromising quality
- Demonstrated experience managing and developing administrative staff, including performance reviews and day-to-day supervision
- Sound knowledge of occupational health and safety obligations and experience maintaining workplace compliance
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office management or HR software platforms
- Experience managing office budgets, supplier relationships, and procurement processes
- Excellent written and verbal communication skills, with the ability to engage professionally across all levels of an organisation
- High level of discretion and integrity when handling sensitive personnel and business information
- Ability to work both independently and collaboratively, demonstrating initiative and sound judgement in resolving day-to-day operational challenges
## Preferred Qualifications
- A tertiary qualification in Business Administration, Management, or a related discipline
- Certificate IV or Diploma in Business or Leadership and Management
- Experience with HRIS or payroll platforms such as Employment Hero, Deputy, or similar
- Familiarity with Australian workplace legislation including the Fair Work Act and relevant Modern Awards
- Previous experience in a multi-site or high-growth business environment
- Project management exposure or a relevant certification such as PRINCE2 or PMP
