Job Summary

The Secretary provides administrative and clerical support to ensure the efficient operation of the plumbing company’s office. This role involves managing communications, scheduling service appointments, maintaining records, assisting customers, and supporting technicians and management with daily administrative tasks.

Key Responsibilities

Answer and direct phone calls, emails, and customer inquiries professionally.
Schedule plumbing service appointments and coordinate technicians’ daily work schedules.
Maintain accurate records of customer information, service requests, invoices, and work orders.
Prepare estimates, invoices, and other administrative documents.
Manage office filing systems (digital and paper).
Communicate with customers regarding appointments, service updates, and follow-ups.
Order office supplies and maintain office inventory.
Assist with basic bookkeeping tasks such as processing payments and tracking invoices.
Coordinate with plumbers and management to ensure efficient job scheduling.
Handle general office duties such as scanning, copying, and data entry.
Required Skills and Qualifications

High school diploma or equivalent
Previous experience in an office or administrative role preferred.
Strong communication and customer service skills.
Good organizational and multitasking abilities.
Proficiency in Microsoft Office (Word, Excel, Outlook) or similar software.
Ability to handle confidential information professionally.
Basic knowledge of scheduling or service management software is an asset.
Pay: $20.00-$25.00 per hour

Expected hours: 24.0 per week
