We are looking to hire a Patient Coordinator to handle all the operational and client service details of a small but very busy, concierge medical practice. You must be highly and naturally detail oriented, love crossing things off your To Do list, and excellent with time management. The work
Serve as the primary point of contact and relationship manager for patients, vendors and the medical team
Handle requests with urgency, discretion, and clarity while managing high-stress and time-sensitive situations calmly and professionally
Coordinate scheduling for provider consultations & diagnostic reviews, in-home blood draws & IV infusions, prescription & supplement refills, and monthly follow-up calls
Coordinate care timelines across multiple time zones to ensure efficient sequencing of labs, consults, and therapies while maintaining real-time awareness of provider availability and patient priorities
Handle all aspects of pharmacy and prescription management: interface with multiple pharmacy vendors; track prescription status & delivery timelines and perform all patient follow-up; order medications accurately to ensure seamless continuity of care
Follow-up and resolve issues related to missed appointment and delayed test results
Manage and maintain Keap database for administration and Tebra system for patient organization and scheduling
Build and manage spreadsheets to track patient status, lab timelines, prescriptions, and vendors
Anticipate patient needs to ensure every patient receives a highly personalized, white-glove experience
Handle all systems, organization & data management: track patient records & workflows; reconcile daily & monthly financial transactions; handle accounts payable and vendor documentation

Your Experience & Skills
3+ years in operations, concierge services, or high-touch client services
Previous experience coordinating complex scheduling and logistics and working across multiple locations
Familiarity, interest or experience in healthcare, wellness, or concierge medicine a plus
Advanced spreadsheet skills helpful
Remote work experience strongly preferred
