Overview
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Responsibilities
Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
Handle all aspects of office management such as filing, data entry, document proofreading, transcription, and maintaining organized records.
Provide executive administrative support by preparing reports, presentations, correspondence, and managing incoming calls with professional phone etiquette.
Assist with event planning for corporate meetings, team-building activities, and special events to ensure seamless execution from start to finish.
Oversee bookkeeping tasks using QuickBooks or similar software to track expenses, process invoices, and manage petty cash.
Support project coordination efforts by tracking deadlines, following up on action items, and communicating effectively across teams.
Manage front desk responsibilities including greeting visitors, answering multi-line phone systems efficiently, and directing inquiries appropriately.
Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) for various administrative tasks while ensuring accuracy through proofreading and editing.
Conduct data entry with high accuracy to update databases and maintain current records.
Use DocuSign or similar electronic signature platforms to facilitate document signing processes securely and efficiently.
Provide customer service by addressing inquiries professionally both in person and via phone or email.
Requirements
Proven experience as a personal assistant or in an administrative support role with a strong background in office management.
Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks, and familiarity with multi-line phone systems.
Excellent typing speed along with transcription skills; keen attention to detail for proofreading documents.
Strong communication skills with professional phone etiquette for handling calls confidently.
Experience in event planning and project coordination is highly desirable.
Ability to handle bookkeeping tasks accurately using QuickBooks or similar accounting software.
Familiarity with office equipment such as scanners, printers, filing systems, and front desk procedures.
Demonstrated ability to manage calendars efficiently using Microsoft Outlook Calendar or equivalent tools.
Knowledge of data entry procedures and clerical best practices to ensure precise recordkeeping.
