About Double:
Double is a performance-led digital agency working with ambitious brands across NZ and AU. We run Google Ads, Paid social, CRO, Website builds, Analytics, and AI-driven marketing systems. We move quickly, we measure everything, and we build for leverage. We are kind, smart and people first.
We are at a stage where the operational engine needs more horsepower. That is where you come in.
The Role:
This is a dual-remit role. Around 70% of your time goes to internal project management and managing a handful of smaller-tier client relationships. The remaining 30% is direct executive support to our Founder, Reuben, helping him run his day, his inbox, and his time. You will also be the heartbeat behind our team culture moments.
You will report into Sarah (GM) and Gareth (Co-Founder), and work closely with Reuben on the EA side. You will be the operational connector that keeps work moving across our Performance, Design, Analytics, and external delivery partners.
What You Will Actually Do:
Project Management (about 70%)
Run Double's Notion task boards. Make sure work is captured, assigned, updated, and shipped on time and on budget
Coordinate the Performance, Design, and Analytics teams ensuring they have the resources and information needed to do an awesome job
Manage outsourced Web and Creative production partners and keep their delivery on track
Hold the team accountable to deadlines and scope, much of which cascades from Sarah & Gareth
Own the direct client relationship for our smaller-tier accounts
Report status, blockers, and risks back to ELT team
Executive Assistant and Team Culture (about 30%)
Manage Reuben's inbox. Triage, respond where appropriate, surface what needs his attention
Work with Reuben to structure his calendar and his day (and weeks) ensuring the most valuable tasks are being worked on
Take admin off his plate so he can focus on the founder work only he can do
Run errands and coordinate logistics where needed
Organise team culture moments. Birthdays, team events, social shouts, shopping for team gifts and supplies, planning offsites and celebrations
Who You Are:
You are early in your career, one to two years in. You have had a taste of project coordination, agency life, EA work, or operations and you want to build a serious career in operations and project management. You are organised by nature. You like systems. You notice when something is slipping before it becomes a problem.
You are confident enough to hold senior people to their commitments, and self-aware enough to know when to escalate. You write well, communicate clearly, and you do not need to be told twice.
You also genuinely enjoy the people side of work. You like making team moments happen, you put thought into the small details, and you take pride in being the person who keeps the culture humming.
Must-Haves:
NZ work rights
Full clean New Zealand driver's licence
Strong written and verbal communication
Solid attention to detail
Nice to Have:
Experience inside an agency or professional services environment
Notion proficiency, or experience with similar tools (Asana, ClickUp, Monday)
Exposure to performance marketing, paid media, or web production
Familiarity with Google Workspace and basic AI tools
