About the Opportunity

Zen Residential Ltd. is seeking a Property Administrator to support the daily operations of our property management team. This position combines administrative support, customer service, and operational coordination to ensure a seamless experience for both tenants and property stakeholders. This role requires strong organization, attention to detail, and the ability to manage a high volume of phone and email inquiries with professionalism and efficiency.

What You'll Do

Administrative Support

Provide comprehensive administrative support to senior leadership.
Monitor, manage, and prioritize inboxes to ensure timely and efficient responses.
Schedule meetings, prepare agendas, and assist with calendar management.
Curate documents and maintain organized records in company-shared drives.
Support internal reporting, correspondence drafting, and project coordination.
Assist with document audits and digital file management.
Customer Service & Tenant Relations
Serve as the first point of contact for tenant inquiries during business hours, handling a high volume of phone calls and emails related to maintenance, service requests, and general inquiries.
Handle maintenance requests and general tenant issues, escalating where appropriate.
Respond to property owner inquiries, providing helpful, timely responses or directing them to appropriate team members.
Track and document tenant and owner communications in internal systems to ensure proper follow-up.
Property Management Operations
Upload and post invoices for property-related expenses.
Coordinate and process lease renewals in accordance with company policies and timelines.
Assist with property onboarding and offboarding tasks as required.
Compliance & Quality Control
Conduct periodic tenant file audits to ensure regulatory and internal compliance.
Support with document curation to maintain accurate and complete digital records.
What You Bring
Previous experience in administrative or property management roles, ideally within residential real estate.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office and property management platforms.
Ability to manage competing priorities and work independently.
