Overview
A busy real estate professional is seeking a reliable, highly organized assistant with direct experience managing real estate transactions and paperwork. This role supports the day-to-day operation of an active real estate business and requires someone comfortable handling deal files, compliance documentation, and administrative coordination from listing through closing.

Requirements

Minimum 3 years of experience managing real estate transactions and paperwork
Strong knowledge of Ontario real estate forms, contracts, and compliance procedures
Experience coordinating deals from listing to firm closing
Excellent organizational and file management skills
Ability to manage multiple transactions simultaneously
Professional communication skills with clients, lawyers, and cooperating agents
High attention to detail and ability to work independently
Comfortable working in-office and supporting a single agent’s business operations
Responsibilities

Manage and organize transaction files from listing to closing
Prepare, review, and submit real estate documentation and compliance paperwork
Coordinate with clients, lawyers, mortgage brokers, and other agents
Track deal deadlines, conditions, deposits, and closing requirements
Assist with listing preparation including MLS paperwork and document collection
Maintain accurate records and ensure files meet brokerage compliance standards
Provide general administrative support to keep the agent’s business running efficiently

Experienced real estate administrator or deal coordinator

Comfortable working in a fast-paced real estate environment
Reliable and capable of managing confidential information
