Job Description

The City of Littleton Police Department is seeking a qualified individual to join our Communications and Records team as a Records Technician. As a CALEA-accredited law enforcement agency, we take great pride in our highly trained officers and staff who continually uphold the standards required to maintain full accreditation.

Records Technicians perform a wide range of technical and detailed tasks related to police records operations. Responsibilities include reviewing and processing crime and incident reports from Patrol and Investigations for quality control, as well as maintaining the data integrity of the Records Management System. The position also involves ensuring the timely and accurate maintenance and dissemination of police records. This role requires exceptional accuracy, attention to detail, and adherence to confidentiality standards. Often serving as the first point of contact for Littleton residents, Records Technicians provide customer assistance in person, by phone, and via email. Work is performed under the supervision of the Communications and Records Division Manager and in accordance with established policies and procedures.

Hiring range $24.94 - $26.25 per hour

This full-time position is non-exempt per FLSA and is eligible for overtime compensation.

Work Schedule: This full-time position will work in person, 8:00 a.m. to 5:00 p.m., Monday through Friday.

ANTICIPATED HIRING PROCESS:

Application review, interview panel, pre-employment criminal background check, polygraph exam, and psychological evaluation. The expected duration of the hiring process is 4 to 8 weeks. Applicants who enter the process but are not selected for employment are not eligible to re- for the same position with the City of Littleton for one year.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Responds to internal and external customers via telephone, in-person, online, and mail and provides information, records and reports including police assistance, citations, incident reports, citizen complaints and other police department documents, correspondence, and forms while following the Colorado Open Records Act (CORA).

Collects victim information by phone, online or in person and write crime reports that do not require an officer to handle.

Enters data into the Departments RMS system. Researches a variety of queries in the database to fulfill requests for other city departments, officers, citizens, other law enforcement agencies.

Scans and attaches paperwork to appropriate cases or databases.

Certifies copies of public reports for release.

Processes vehicle impound reports and bills of sale from tow company.

Extracts information from police reports and data base for crime analysis.

Sorts, routes, files, reports, requests, and notices from the communication center, patrol, investigations, and courts.

Processes DUI reports and incoming blood and drug results for Department of Revenue.

Provides notary service to the department and citizens.

Validates case reports for NIBRS National Incident Based Reporting System according to FBI Regulations. Submit monthly data report to CBI.

Collect fees for records provided to internal and externals customers for audio, video, photos, and body worn camera. Balance cash drawer and take deposits to finance.

Requests audio, video, photos, and body worn camera for Digital Media Team and disseminate appropriately.

Receives, reviews and approves police reports to include offense, arrest and crash reports forwarding documents to courts or Department of Revenue.

Conducts a variety of queries utilizing the CCIC computer.

Electronically uploads criminal reports and supporting documentation to the appropriate judicial district.

Follows Colorado Revised Statues (CRS) and processes requests for sealing and expunging of records.

Trains new employees and temporary employees.

Performs other similar duties and projects as assigned.



MINIMUM QUALIFICATIONS:

High school diploma or equivalent; and

One (1) year of prior records management, records processing, or clerical work experience; or

An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position may be considered.

CCIC /NCIC Operator certification required or ability to obtain within 6 months of hire date.

Must be able to pass a pre-employment criminal background check, polygraph exam, and psychological evaluation.



KNOWLEDGE, SKILLS, ABILITIES:

Strong knowledge of computer operations and Microsoft Office.

Ability to effectively communicate and interact with callers or visitors and deescalate situation when appropriate.

Ability to handle conversations or knowledge of unsettling or graphic reports.

Basic knowledge of principles of government regulation and the ability to read, interpret, , and communicate the requirements of selected provisions of state law, City Charter, codes, and regulations.

Ability to perform tasks accurately and timely and good verbal and written communication skills.



WORKING ENVIRONMENT & PHYSICAL ACTIVITIES:

The essential duties/activities for the position are performed indoors in a standard office environment.

Long periods of sitting, walking or standing may be required. Physical activities include occasional lifting, carrying, pushing or pulling objects weighing up to10 pounds with or without assistance.

Physical activities required to perform essential duties include hearing conversation, sufficient visual acuity to see people, objects and work products; reaching; and grasping.
