Job description
We are seeking to appoint an approachable, enthusiastic and self-evaluative candidate to assist and support the staff of SPJ with specific and general duties.
Main duties and responsibilities
· To answer incoming telephone calls as required promptly, filtering and passing on messages as required.
· Working with the School Receptionist, assisting where required with the morning and afternoon registration, liaising with form tutors, sports staff and music staff and following up unexplained absentees promptly and sending text/email messages via School Post as required.
· To update the School’s Bus list on ISAMs and School Post and produce detailed contact sheets.
· To be the point of contact with the School’s bus company and liaise with the Director of Operations staff when required
· To update the Head’s Awards list and produce Head Awards certificates as required on a weekly basis, advising the marketing department weekly of winners and liaising with Head’s PA on winners’ prizes.
· To undertake any School Posts when required.
· To update the ‘off games’ register as required.
· To cover the Receptionist’s lunch hour on the School Reception desk, being the first point of contact for parents, pupils and visitors and to sign all visitors and pupils in and out.
· To access the school database for relevant information.
· To help boys who visit reception when required.
· To sign in parents/audience at school performances each term (approximately 2 evenings per term from 5-7pm).
· To liaise with the 7+/8+ Assistant Registrar and assist in all aspects of the administration before, during and after the 7+/8+ exam days
· To receive documents required for school trips and populate spreadsheets for the trip leader.
· To share other tasks as part of the school office team as required.
· To do the weekly staff briefing minutes
· To do the HoDs meetings minutes
· To do the Behaviour Working Party meetings minutes
· To produce the analyses of the Bounce Together data in collaboration with the Senior Deputy Head Pastoral
· To update a new area on the school’s intranet for Inspection data and create the necessary links to policies and also add data on clubs and pupils
· To manage absences on iTrent
· To produce termly reports on pupil Absences
· To assist staff on booking events on ISAMS
· To update data requests such as change of addresses/phone numbers etc on ISAMs
· To offer support to the Senior Deputy Head Pastoral
All staff have a responsibility and duty of care to safeguard and promote the welfare of pupils. Staff must be aware of the systems within the School which support safeguarding and must act in accordance with the School’s Safeguarding & Child Protection policy and Code of Conduct. Staff will receive appropriate child protection training which is regularly updated.
Hours: Term Hours: Term time (34 weeks) with an extra 5 weeks out of term time, full time, 8:30am – 5pm
