Position Overview:
Provides administrative services within a designated department, function or process area. Duties are primarily transactional and may include services such as office support; paperwork / documentation preparation, filing and submission; inventory tracking and purchasing; facility maintenance; administrative equipment maintenance, tracking and controlling departmental processes (i.e., billed work, cost tracking, etc.) and other transactional duties. Administrative Services employees may work in a general office or team setting or within a designated functional area or field location.
In addition, the incumbent will support travel for the department in collaboration with Admin. S/he will partner with facilities and stakeholders to organize events end to end. These events could range from townhalls, offsite, visitors, indoor and outdoor cultural and sports programs. S/He will collaborate with Department leadership, HR Finance, Procurement as required to enable learning programs. S/He will actively contribute & lead the effort in interactions with associates like the quarterly newsletter.
Key Responsibilities:
Manage calendar & meetings with internal and external stakeholders.
Manage travel, visa, tickets, ground logistics. Work with global EA to manage schedules and agenda.
Manage events, either at office or outside premises. Provide end to end logistic support including AV etc for the events including negotiations & contract with third party.
Partner with global leadership, HR and necessary stakeholders to design, roll out and report learning programs.
Assist HR with contractor hiring and invoice reviews.
Provide high-level transactional support and procedural expertise across multiple teams within an assigned functional or project area
Ensure the prompt and efficient administration of all assigned duties
Identify and resolve data and other discrepancies or refer to supervisor for understanding and resolution.
Ensure all material and documents are signed, approved and distributed / submitted as required by standard operating procedure and protocol
Develop and/or maintain process / program organizational documentation
Assist with the development and dissemination of diverse internal and external communications
Handle highly sensitive information
Engages with functional / operational leaders to understand business systems, processes, objectives, challenges and areas for improvement.
Analyze workflows and identify issues, bottlenecks or other areas for effectiveness or efficiency improvement
Required Qualifications:
BA/BS degree and 10+ years’ relevant experience OR equivalent combination of education and experience.
