Take a peek at what our beautiful County has to offer - Indian River County, Florida - Chamber of Commerce STAFF ASSISTANT IV - COUNTY ATTORNEY Performs a variety of professional level assistant and administrative support functions for the County Attorney's Office. This position works independently and provides advanced administrative support including, but not limited to managing departmental correspondence, memorandums, scheduling, employee documentation, payroll processing, purchasing and financial account maintenance.

This is a fully experienced position requiring exceptional knowledge of governmental functions, operations and departmental administration. This position works under the general direction of the County Attorney. Essential Job Duties Act as a liaison between County Attorney staff and other departments, residents and visitors.

Performs public relations duties on behalf of the County Attorney. Receives both internal and external calls to the Attorney's Office, provides information, takes messages and refers callers to the appropriate department or staff. Performs a variety of complex clerical and administrative functions, including sorting and distributing mail, copying, faxing, scanning and filing.

Composes memos, written correspondence and reports using professional communication standards. Research documents and obtain information in order to complete reports, letters, records, etc. Makes administrative decisions based on pertinent rules, regulations, and standard operating procedures.

Ensures security of confidentiality and legal documents. Assists with coordinating and scheduling appointments and meetings, inviting and track attendees. Manages schedule for Attorney's Office conference room.

Coordinates conferences, training and travel reservations. Creates travel itineraries, assists in preparation of travel reimbursement and per diem forms. Maintains vendor lists for goods and services, ensures vendor documents are up to date with purchasing department and Munis.

Maintains renewal list of annual subscriptions and memberships for Attorney's office. Maintains office supply inventory, submits orders for office supplies as needed. Obtains quotes from vendors for services, supplies and equipment.

Tracks orders, manages invoices and monitor budget. Initiates purchasing requisitions, invoice payments, wire transfers, change orders and budget transfers. Coordinates with Finance, Budget and Purchasing departments on purchases and processing of payments.

Maintains department assets inventory list, coordinate with finance department for annual reporting of assets. Reviews and processes time sheets, tracks sick leave, annual leave, and overtime. Initiates time sheet approval process.

Prepares employee requisitions, coordinates with Human Resources for recruitment, hiring and promotions. Maintains and updates personnel records. Coordinates and assists County Attorney with staff performance evaluations.

Typical Requirements Education and Experience: High School Diploma/GED plus a minimum of five (5) years of progressively responsible experience performing a variety of administrative, clerical, and/or paralegal work, or an equivalent combination of formal education and related working experience. Associate's degree may be substituted for two (2) years of experience requirement. Bachelor's Degree may be substituted for four (4) years of experience requirement.

Must be highly proficient in computer software and office technology. License, Certifications or Registrations: Florida Notary preferred. Certified Administrative Professional (CAP) or equivalent preferred.

Knowledge, Abilities and Skills: Knowledge of administrative policies, procedures, ordinances, rules, regulations, legal terminology and business English. Knowledge in the use of a standard office equipment including, scanner, printer, fax machine, etc. Knowledge in the use of personal computers and software/applications including Microsoft Office (Outlook, Word, Excel, etc.), PDF software (Adobe or Kofax), DropBox, Munis, Kronos and Granicus.

Knowledge of accounting and budget procedures with understanding of GL codes, line transfers, budget amendments and journal entries. Ability to perform mathematical calculations. Ability to compose, edit and type forms, documents, reports and letters with speed and accuracy.

Ability to review records for accuracy and compliance with established policies and procedures. Ability to compose, maintain and update logs, files, and records with a high degree of accuracy. Ability to analyze information and make independent judgment decisions.

Ability to gather information from various data sources to prepare accurate reports and documents. Ability to understand, interpret and follow complex oral and written instructions, documents, and programs. Ability to effectively communicate information and ideas, both verbally and in writing.

Ability to listen and understand information and ideas presented verbally and in writing. Ability to establish successful working relationships with staff and the public. Ability to exercise discretion in handling confidential and sensitive information.

Ability to work independently and as part of a team. Ability to develop and maintain administrative procedures. Skilled in researching documents with the ability to provide analysis/summaries.

Skilled in communicating in a professional and respectful manner with all persons providing exceptional customer service. Skilled in time management, organization, prioritizing and multi-tasking. Supplemental Information ENVIRONMENTAL CONDITIONS: Work is performed inside an office environment.
