Job Description
• Supervising Events Team and managing the execution.
• Engaging with stake holders to define the event schedule and content.
• Overseeing Event Management like Conferences/ Off-sites, etc.
• Vendor management. Establish relationships with vendors, negotiate contracts to meet approved budget, compile estimated cost models, select sites, and execute required logistics.
• Create manage and maintain for an overall annual budget for all office events as well as specific budgets for individual events
• Work with the team to organize, plan and coordinate events across a range of areas, including:
• General office affiliation events, team building, cultural activities, etc.
• Specific initiative and committee events, such as Community Service Day, Women's Initiative Networking events, Wellness Day
• Knowledge-sharing events, including Annual Conferences, Staff Meetings, Practice Area Townhalls, and consultant training
• Local recruiting events and summer social events
• Office integration efforts, such as class and cohort social events and Friday evening events
• Annual BCG India office-wide retreats (family or teambuilding) & Alumni events
• Perform other related duties as assigned or required
• Keep detailed and systematic records of each event so that execution can be replicated annually or easily turned over to others in future
• Ensure loading & Quality checks are conducted on all vendor contracts
• Responsible for sending out the Monthly MIS, Dashboard etc
YOU'RE GOOD AT
• Incumbent who can bring knowledge to BCG and possess the quality of convincing stakeholders as well as proactively ensuring optimal service deliverance & support. We expect that the individual will possess both the “technical” qualifications for the role as well as other “intangible” attributes. The technical qualifications include a background in events with proven negotiation skills, a record of accomplishment in structuring progressive vendor arrangements across a variety of vendor types and contracting experience. The intangible attributes include a high level of intellectual agility, initiative, self-motivation, tenacity, and the ability to negotiate and bring together diverse audiences.
• Excellent oral and written English language communication skills
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
• Budget planning and vendor interface expertise
• Proficient in planning events/meetings
• A solid track record from preparing and executing contract negotiations is required.
• Used to working in an international environment with both internal clients as well as suppliers
• An ideal candidate will have the ability to multi-task on different projects under tight time frames, as well as translate large, complex issues into effective work plan
• A high sense of perceptiveness and diplomacy is required, you need to know how to navigate towards the best-balanced solution for BCG and the stakeholders
• Must possess excellent analytical abilities as well as strong relationship-building skills.
• Must be willing to multi-task and perform administrative duties as needed. Enjoy the role of and excel in being a change facilitator and continuously drive towards better processes and structures supporting the long-term goal.
