About the Role

As the Technical Executive Assistant at DeepView, you will play a pivotal role in supporting our CEO, ensuring smooth and efficient operations. Your responsibilities will include managing schedules, coordinating meetings, and handling communication on behalf of the executives. In this role, you will also be responsible for preparing reports, managing confidential information, and assisting with special projects. Your ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality is crucial.

This role will involve:
• Assisting the CEO and team by creating and amending documents for client meetings and new business opportunities. PowerPoint skills are essential to the role.
• Researching and identifying sales prospects for DeepView.
• Screening, prioritising, and responding to emails and other communications on behalf of the executive.
• Drafting and editing emails, memos, reports, and other documents for the executive’s approval.
• Managing communication flow between the executive and other internal or external stakeholders.
• Reading through the CEO’s inbox and providing email summaries.
• Organising meetings for the CEO, and helping prepare for these meetings.
• Organising a range of projects and events (e.g. DeepView representation at The World Economic Forum (WEF) in Davos).
• Providing basic technical support, troubleshooting, and coordination with IT teams when necessary.
• Handling the setup and configuration of devices, applications, and systems used by the executive.
• Assisting in managing and tracking technical projects or initiatives the executive is involved in.
• Liaising between the executive and IT teams, ensuring effective communication and follow-up on technical projects.
• Handling confidential information with discretion and ensure data security.
• Following current news and events in cybersecurity and finance.

• Organised and comfortable juggling multiple work streams, and able to manage their time.
• Able to communicate professionally with all levels of people with strong interpersonal skills.
• Logical, quick and flexible in the appraisal of issues.
• Able to work well under pressure.
• Able to take direction and report on the progress of their work to the CEO and the team.
• Able to manage projects independently or within a team, with limited managerial direction, as/when required.

Key Requirements:

Education:
• Bachelor’s degree in Business Administration, IT, Computer Science, or a related field is preferred. 2:1 degree or above, and being able to write well; correct spelling and grammar is essential.
• Certifications in project management or relevant technical fields are a plus.

Experience:
• 3+ years of experience in an EA/PA role, preferably in a technical or IT-driven environment.
• Experience in working with senior-level executives.
• Familiarity with technical workflows, systems, and software commonly used in IT departments (e.g., Microsoft Office Suite, project management tools, cloud services).

Skills:
• Strong organisational and time management skills, with an ability to handle multiple tasks and priorities.
• Proficient in technical tools and software, with a basic understanding of IT systems and applications including the use of salesforce databases and tools such as spreadsheets, as well as the Google Suite (Gmail, Google Drive, etc), and Word, Excel and PowerPoint.
• Strong problem-solving skills, particularly in a technical context.
• Excellent written and verbal communication skills.

Soft Skills:
• High attention to detail and accuracy.
• Discretion and professionalism in handling confidential information.
• Ability to work independently and with minimal supervision.
• Proactive and adaptable, with the ability to anticipate the executive’s needs.
