This role delivers high-level administrative and operational support to the Chief Legal Officer and Legal & Risk Management team, with responsibilities spanning budgeting support, external advisor coordination, internal program and meeting management, complex travel coordination, document and presentation preparation, and corporate records administration.
This role is located at our Head Office in Vaughan, ON. This posting is for a replacement position. The expected annual salary range for this role in $75,000 - $95,000/year. This position is also eligible to participate in our short-term incentive program.

Successful completion of a post-secondary program in a related discipline.
5+ years experience as an Executive Assistant, preferably in a legal or corporate legal environment; exposure to commercial law operations is an asset.
Advanced proficiency in standard software programs (e.g., Microsoft Office Suite, document management systems, virtual meeting platforms such as Teams).
Strong organizational and time management skills, with the ability to prioritize and manage multiple competing tasks.
Excellent written and verbal communication skills, with a high degree of professionalism and clarity.
High attention to detail and accuracy, particularly in document preparation and corporate records management.

What You’ll Be Doing Each Day
Provide comprehensive administrative and operational support to the Legal and Risk Management team, ensuring smooth day-to-day management responsibilities.
Support annual and interim planning and budgeting processes, including coordination of external advisor accounts and related financial tracking.
Coordinate and manage internal group programs and meetings, including monthly meetings, agendas, materials, facilities, and in-meeting technology support.
Manage document and records administration, including oversight of corporate records, document organization, and quality control of materials as required.
Organize meetings, calls, and logistics for the broader team, ensuring efficient scheduling and preparation of relevant materials.
Coordinate the team’s domestic and international travel arrangements, including regular travel to subsidiary meetings.
Prepare and format presentations in MS PowerPoint, reports in MS Excel, and other executive-level materials with a high degree of accuracy and professionalism.
Provide practical, responsive support to team as needed, exercising sound judgment, discretion, and a strong service orientation in a collegial, fast-paced environment.
