All Aged Care Ltd is a not-for-profit provider delivering personalised, in-home aged care services across Brisbane and South-East Queensland. We support older Australians to live independently and with dignity through culturally inclusive, person-centred care.
As part of our continued growth and transition into the Support at Home program, we are seeking an experienced Workforce Coordinator (Rostering) to join our team at our Spring Hill office.
The Role
This is a central and fast-paced coordination role focused on workforce planning, master roster management, and responsive daily scheduling.
You will take ownership of the master roster and ensure clients receive reliable, well-matched support through effective scheduling and workforce coordination. The role balances long-term roster structure with day-to-day problem solving — managing leave, cancellations, urgent changes, and new service setups.
You will work closely with Care Partners, Support Workers, and the Operational Manager to ensure the right worker, with the right skills, is allocated at the right time.
The role is based on-site at our Spring Hill office, with excellent access to public transport.
Key Responsibilities
Master Roster & Workforce Planning
Maintain and manage the master roster, including all recurring schedules
Build rosters for new employees aligned with skills, availability, and client needs
Monitor workforce capacity and escalate shortages where required
Support service growth forecasting and workforce utilisation planning
Promote continuity of care and culturally appropriate worker matching
Daily Scheduling & Service Coordination
Manage all daily roster adjustments, including unplanned leave and cancellations
Schedule recurring, one-off, and new client services
Proactively arrange service coverage and exhaust options before escalation
Maintain accurate updates in Galaxy and Microsoft systems
Client & Staff Communication
Contact clients regarding schedule changes and service confirmations
Communicate roster changes clearly and professionally to support workers
Collaborate closely with Care Partners to support seamless service delivery
Data, Compliance & Reporting
Ensure roster data accuracy for payroll, billing, and compliance
Maintain defensible documentation aligned with Support at Home requirements
Contribute to reporting, audits, and quality activities
About You
You are calm under pressure, highly organised, and solutions-focused. You enjoy the structure of workforce planning while being able to respond quickly to daily operational changes.
You understand that rostering is not just scheduling — it is about continuity, client experience, and supporting frontline staff to deliver quality care.
Essential:
Experience in rostering, scheduling, or workforce coordination (community services preferred)
Strong organisational and problem-solving skills
Ability to manage competing priorities in a fast-paced environment
Excellent written and verbal communication skills
High attention to detail and accuracy
Proficiency with Microsoft Office and rostering systems
Full Australian work rights
National Police Check (or willingness to obtain)
Desirable:
Experience in aged care, disability, or community services
Understanding of Support at Home reforms
Knowledge of workforce planning principles
Experience mentoring or supporting colleagues
