The Position
AllRock Consulting is a fast growing Geotechnical/Materials Engineering firm that is looking for a highly organized and enthusiastic Accounts Payable Administrator to join our fast-growing team. This is a unique opportunity to deliver AP assistance to all 7 of our offices across Newfoundland and Ontario. The successful candidate will be working in fast-past team-oriented environment at our Ottawa office.
Key Responsibilities
Accounts Payable (Primary Focus):
Process high volumes of vendor invoices accurately and in a timely manner
Match purchase orders, invoices, and receiving documents
Verify approvals and ensure compliance with company policies and procedures
Prepare and process electronic transfers, ACH payments, and checks
Reconcile vendor statements and resolve discrepancies
Respond to vendor inquiries and maintain positive vendor relationships
Maintain accurate and up-to-date accounts payable records
Assist with month-end closing activities and reporting
Support audits by providing required documentation and reports
Accounts Receivable (Secondary Support):
Prepare and issue client invoices accurately and in a timely manner
Send invoices to clients and ensure proper documentation
Monitor accounts for incoming payments
Assist with payment application and follow up on outstanding balances as needed
Qualifications & Skills
Diploma or degree in Accounting, Finance, or related field is considered an asset
3+ years of accounts payable experience required
Strong knowledge of accounting principles and accounts payable processes
Proficiency in accounting software (e.g., QuickBooks, SAP, or similar ERP systems)
Intermediate to advanced Microsoft Excel skills
High level of accuracy and attention to detail
Strong organizational and time management skills
Excellent written and verbal communication skills
Ability to work independently and as part of a team
Attention to detail and problem-solving skills.
High level of discretion and confidentiality.
