Job Description
Based at our Geelong Cement Plant, this role contributes to the safe and efficient operation of Geelong Cement operations through providing leadership in the areas of purchasing, accounts payable and payroll & administration assistance to enable the management of the day-to-day business. This role will require collaboration across internal teams including procurement, commercial finance, accounts payable, and the site leadership team. Key responsibilities include the processing of invoices, goods receipting, purchase reporting, processing of accounts/invoices, administration of site payroll to wages employees, and participating in / and leading continuous improvement activities.
Your day will involve:
Administering accounts duties for Geelong operations including assisting with invoice enquiries, leading the site purchasing process including raising and receipting purchase orders and reconciliation of purchases
Inventory management of goods and services procured
Provision of assistance to Finance functions including end of month and reporting
Supporting production reporting activities including closing/opening of batches and daily production data recording into Oracle
Reconciliation of dispatch and reports for material movements, maintenance of site running stock, processing and reconciliation of manual weighbridge dockets
Processing and reconciling cash sale payments
Reception related duties and attending to general enquiries from internal and external customers
General office and administration assistant support to the Geelong Management team including mail distribution, stationery and equipment management, coordination and maintenance of site security access including contractor inductions, organisation of onsite and offsite conferences and events, meeting room coordination, distribution of workforce communications, management of office files, control of site archives and management of site licenses and keys
Provision of administrative duties associated with payroll for wages employees including preparation and timely completion of all duties associated with the site’s time and attendance system (Kronos), responding to any payroll queries and liaison with central payroll team regarding pay adjustments, change of employee conditions and details
Confidential administration support to HR and Management.
Supporting site safety and compliance processes, including visitor inductions, WHS documentation, and safety training coordination.
Identifying and implementing process improvements across administration and reporting systems.
Managing vendor relationships and supporting raw materials procurement and logistics coordination.
Assisting with budgeting, forecasting, and accruals to support cost management and month-end processes.
Acting as a liaison for government agencies and community stakeholders as needed.
What are we looking for?
Min 5+ years providing Administration / Accounts support in a business environment.
Minimum 2 years experience in accounts payable and accounts receivable, including inventory procurement
Cost budgeting and forecasting experience.
Costing accounting and accruals experience to support raw materials purchasing.
Experience with management of accounts
Experience in systems, optimisation and process improvement
Experience providing Payroll Administration support for HR
High level proficiency with Oracle and Microsoft Office suite including Excel and PowerPoint
Prior experience to applications including Kronos, CHRIS 21 Payroll, Aries, Maximo, and Passage Point is desirable but not essential
Practical understanding of LEAN tools and techniques
Ability to communicate effectively, work without supervision and make decisions using system knowledge.
Team player with strong analytical skills.
